Job Summary:

California State University, Fullerton is searching for an Administrative Assistant to the Assistant Vice President of Enrollment Services (Administrative Support Coordinator I). The Administrative Assistant to the Assistant Vice President of Enrollment Services should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under general direction, provides general office support to students, faculty, staff, and community members. Plans, initiates, executes, and coordinates projects, activities, and events with accountability for results. Maintains files, processes documents and records, gathers data, and interacts with and solves problems for work unit customers and staff. Uses customer service and problem solving skills to respond to customers via email, telephone, and in person. Uses a variety of office support technology and systems such as word processing and spreadsheet packages to complete assignments. Coordinates and schedules meetings and events as needed. Addresses a wide range of work unit problems which require interpreting policies and procedures and using ingenuity to put information together in new ways. Coordinates and works with individuals at all levels within the organization.

Coordinates the administrative work of the AVP of Enrollment Services and provides clerical support as necessary. Typically, student issues are referred to the AVP from other areas of Records and Registration. Serves as a first point of contact for students, and others via telephone, email or in-person. Responds to general inquiries regarding registration, graduation and records, and refers people to appropriate University personnel. Works with students to assist them in meeting the requirements of Executive Orders, coded memorandum and University Policy statements. Releases academic holds for first time freshmen and transfers once they have submitted proper documentation establishing their completion of the hold requirement. Serves as the primary timekeeper for regular staff (approximately 35 staff) and assists the Administrative Analyst with various technical areas of personnel, budget, logistical considerations, including but not limited to preparing purchase requisitions, work orders, maintenance requests, ordering office supplies, and maintenance of files and records. Records and Registration is a medium sized academic administrative unit with approximately 35 staff and an annual budget of 1.5 million dollars. Other duties as assigned.



Essential Qualifications:
High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.
