Salary:

Salary Range: $1,300 - $2,164per month
Anticipated Hiring Salary: $1,300 per month

Note: This part-time (equivalent to 20 hours per week) position is temporary and expected to terminate on or before one year from date of hire. Extension of this assignment is contingent upon sufficient additional funding and satisfactory performance. Eligible for medical, dental and vision benefits plus paid vacation, sick leave, etc.

Overview:

Under the general supervision of the College of Social Sciences Associate Dean, the Administrative Support Assistant will be responsible for providing support to an office with a high volume of public contact and student advising as well as serving as an administrative assistant to the advisors.

Position Summary:

  • Greet and assist students, staff, and faculty
  • Answer multi-line telephone system and respond to telephone, email, and in-person inquiries
  • Serve as a liaison and information resource for the College of Social Sciences to other offices and departments throughout the College, University and service area
  • Make appropriate student referrals pertaining to program information and College/University services
  • Extensive use of computer to produce correspondence, reports and special projects
  • Maintain appointment calendars through Google calendar and GradesFirst for multiple advisors, schedule office meetings, student appointments and program workshops
  • Participate in the planning of annual events, such as DOG DAYS orientations & the College of Social Sciences New Student Convocation, etc.
  • Effectively use computer software applications, including Microsoft Word, Microsoft Excel, PeopleSoft, Grades First
  • Serve as a liaison and information resource for the program, including attend all meetings and produce correspondence, agendas
  • Order office supplies and maintain the office filing system
  • Schedule rooms for office meetings and program workshops using 25Live
  • Maintain and revise the Student Services Center Listservs with updated queries
  • Hire, train, and provide lead direction to student assistants for the advising center, including establishing tasks, completing evaluations, and coordinating hours
  • Send listserv emails to student groups as needed
  • Process checks for various student fees
  • Maintain program supplies budget
  • Prepare and process travel applications, claims, purchase requisitions and other forms using Concur system
  • Prepare purchase requisitions, hospitality approval forms, direct pay, and royalty waiver forms
  • Work with licensed vendors to purchase university approved items for the advising center
  • Maintain and update data entry of new program applicants
  • Maintain College of Social Sciences Advising Center website and social media content
  • Assist with staff/student assistant/student intern training as needed
  • Coordinate office retreats and banquets
  • Other related work duties as needed for position

Knowledge, Skills & Abilities:

  • Thorough knowledge and use of correct English grammar, spelling and punctuation
  • Excellent oral and written communication skills
  • Exceptional customer service skills
  • Ability to:
    • Work independently and establish priorities under heavy workload with multiple competing demands and tight deadlines
    • Operate standard office equipment
    • Work with frequent interruptions, to establish and maintain effective collaborative working relationships with students, staff, faculty, and the general public from diverse ethnic, cultural, and socio-economic backgrounds
    • Demonstrate good judgment, discretion, and initiative in performing duties in a complex work environment
  • A history of regular attendance and positive performance evaluations

Education and Experience:

  • Completion of high school program
  • Two years of recent, responsible, general office clerical experience which includes full function knowledge of and skills in standard office procedures and practices

Preferred Skills:

  • A general understanding of general academic requirements, College of Social Sciences major, minors, and certificates, the General Education pattern, and how to read a Degree Progress Report
  • General understanding and experience of the College of Social Sciences
  • Experience working with PeopleSoft, Zimbra, Adobe Acrobat or similar programs
  • Experience in a university and/or educational environment, working in an administrative support position
