Salary:

Salary Range: $4,179 - $5,942 per month (anticipated hiring salary: $4,179 per month)

Note: This is a full-time (40 hours per week), probationary, exempt position

Organizational Description:

The Office of the University Registrar is dedicated to providing quality services to students, faculty, and staff. Our services include, but are not limited to, registration assistance, maintaining student academic records, and Veteran services. Our office is also responsible for articulation, coding transfer credit, and providing tools in support of accurate advising and timely graduation. We strive to uphold the policies of the institution and facilitate the graduation process through effective communication with the campus community while preserving the academic integrity of the university and the right of privacy to the student.

Overview:

Undergraduate Degree Evaluations provides services to students to determine completion of degree requirements, advises and assists students with academic planning, transferability of courses, and provides support and training to academic departments and offices.

The position is assigned a caseload of degree files and works in a high production unit. Incumbents exercise knowledge of program practices and procedures, methods and problems of organizational and program management, and utilize research and interview techniques to analyze problems and recommend solutions.

Position Summary:

  • Evaluate all academic records and conducts the final degree clearance in accordance with CSU and campus baccalaureate degree policies and regulations
  • Reviews all transfer credit and applicability of all college courses to the baccalaureate degree and reconciles Degree Progress Report (DPR) , PeopleSoft credits, and GPA totals
  • Process course substitutions/waivers for GE, major, and degree requirements into DPR
  • Review the academic progress of student athletes each semester to ensure that they meet requirements for progress toward the degree and meet minimum percentage requirements under NCAA bylaws for continuing eligibility
  • Advise and assist students, faculty, and staff with the development of an academic plan
  • Advise students and serve as an advocate providing students with alternatives for navigating degree requirements and identifying limitations and possible consequences of academic decisions
  • Utilize advising systems to assess student needs and educational goals
  • Conduct presentations at advising and training workshops and serves as a liaison to special programs and academic departments and faculty in assigned college or school
  • Interpret campus and CSU system policy in Title 5 of the California Code of Regulations and campus academic regulations
  • Verify accreditation of previously attended institutions
  • Prepare and email letters of graduation and degree deficiencies to all undergraduate graduating students
  • Assist with other projects in the Office of the Registrar or campus projects that involve knowledge of educational documents, CSU regulations, and experience working with students. (e.g., Dog Days Orientation, Super Senior project, Presidential Conferrals, posthumous degrees, degree evaluations , percentage checks for student athletes, office archive and transcript audit project, and data testing for system upgrades)

Knowledge, Skills, and Abilities:

  • Working knowledge of the practices, procedures and activities of a university registrar, college, or advising center
  • General knowledge of the methods and problems of organizational and program management
  • General knowledge of research and interview techniques
  • General knowledge of the principles of individual and group behavior

Ability to:

  • Interpret and apply program rules and regulations
  • Use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements
  • Obtain factual and interpretative information through interviews
  • Reason logically
  • Collect, compile, analyze and evaluate data and make verbal or written presentations based on these data
  • Advise students individually and in groups on routine matters where required
  • Recognize multicultural, multi-sexed and multi-aged value systems and work accordingly
  • Establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts
  • Rapidly acquire a general knowledge of the overall operation, functions and programs of the CSU, Fresno
  • Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas

Education and Experience:

  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field
    • Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis
  • Equivalent of two years of professional experience in one of the student services program areas or in a related field
    • A master's degree in a job-related field may be substituted for one year of the professional experience

Preferred Skills:

  • Knowledge of degree requirements, academic policies, regulations and university procedures
  • Experience with a student degree audit system, uAchieve
  • Experience with NCAA regulations and requirements for the student-athletes in determining progress toward the degree
  • Experience conducting workshops regarding degree audit system (DPR), admissions, degree requirements, or other complex regulations
  • Experience with a student data system, preferably PeopleSoft
  • Four years of professional experience in one of the student services program areas or in a related field
  • Knowledge of advising and counseling techniques, leadership skills, and handling sensitive issues.

Demonstrated ability to:

  • Work in a high production environment, demonstrate initiative and efficient planning.
  • Manage workload independently and make appropriate decisions and exercise sound judgment
  • Work with students and the general public from diverse ethnic, cultural, and socioeconomic backgrounds

Ability to:

  • Organize and plan work and projects including handling multiple priorities in a fast paced environment
  • Represent the unit and the university in a professional manner and serve as a liaison for the unit to academic programs and other departments
  • Learn, interpret, and apply a wide variety of complex policies and procedures relating to evaluations of records, advising practices, degree requirements, and policies of the NCAA
  • Develop creative solutions for students utilizing knowledge of campus academic, departmental, and student affairs practices
  • Abide with university, state, and federal policy regarding confidentiality of student records
  • Maintain a history of regular attendance and of positive performance evaluations
