Administrative Assistant


The University of Notre Dame (ND.jobs) is accepting applications for a Administrative Assistant.

Applications will be accepted until 7/7/2017.

The Administrative Assistant will serve as the main receptionist to Visitation Hall and Remick Commons and support the Visitation Team and Institute for Educational Initiatives and its directors, including but not limited to, the Director and his Executive Administrator, the Executive Director of ACE, the Managing Director of the Institute, the Director of Operations, the Assistant Director of the Institute, and others as assigned. The Administrative Assistant will also provide support to the Director for the Center for Literacy Education. Duties include: coordinate meetings, mailings, order and maintain office supplies for the Institute; coordinate student workers for the Institute; network and trouble shoot with various suppliers and vendors to the Institute; receptionist for Visitation Hall and Remick Commons; coordinate travel and complete expense reports, and other duties as assigned.
  • Greet, welcome, and assist visitors and guests to the building.

  • Order office supplies, maintain inventory, anticipate needs for all programs supported.

  • Oversee mail distribution, shipping, & receiving. Duplicate reports and documents; maintain records and files.

  • Work with outside vendors and ND units for all supply, printing, and technology needs.

  • Support the administrative needs of the Director of the Center for Literacy Education, and others as assigned.

  • Coordinate and oversee student workers supporting the needs of Visitation Hall team and the Institute at large.

  • Other duties as assigned- supporting the Institute for Educational Initiatives and the Visitation team.



Minimum Qualifications:
High school and some college education 5-6 years Experience

Preferred Qualifications:
Advanced computer skills including Microsoft Office (Word, PowerPoint, Excel, Access)
