Administrative Assistant to the Dean

Position Summary
The Administrative Assistant to the Dean of the School of Physical Therapy provides high-level administrative support by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.

This position is considered a Responsible Employee under Title IX federal regulations and Mandatory Reporter under Texas state law and The UIW Sexual Misconduct Policy. As a Mandatory Reporter, this position requires you as the employee to promptly report any incident that you witness or receive information about violating Title IX. These reporting responsibilities are set out in the UIW Sexual Misconduct Policy.


Essential Functions


Job Duties


Knowledge Skills and Abilities
-Knowledge of office management principles, methods, and procedures to
complete work assignments;
-Knowledge of organization, personnel, and fiscal management to complete daily work assignments;
-Knowledge of sorting/filing techniques and record retention policies and schedules to maintain accurate records;
-Ability to remain professional when dealing with internal and external customers;
-Ability to manage and prioritize multiple assignments;
-Ability to maintain accuracy and attention to detail;
-Ability to work independently and carry out a variety of critical and time sensitive projects without detailed instructions;
-Knowledge of travel rules and policy to complete travel documents (e.g., travel advances, arrangements, travel expense claims);
-Ability to maintain confidential information;
-Knowledge of proper spelling, grammar, punctuation, and sentence structure to ensure that written materials prepared and reviewed are complete, concise, and error-free;
-Excellent written and verbal communication;
-Ability to work effectively with individuals from diverse backgrounds and cultures;
-Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.


Required Education


Required Work Experience
-Demonstrated commitment to the UIW social justice mission;
-Demonstrated ability to communicate in English effectively in writing and orally, and to work collaboratively in a complex setting;
-Experience in supporting a higher-level executive


Preferred Qualifications
-Ability to communicate effectively in both English and Spanish;
-Experience in a graduate health profession school setting;
-Bachelors degree
-Public notary
