Position Summary
Under the general supervision of the Director of Financial Aid, the Associate Director's primary areas of oversight are student services, special case management, counseling and outreach, reconciliation and reporting and scholarship processing. The Associate Director actively and independently coordinates with the Assistant Director of Compliance and the Assistant Director of Financial Aid Operations to meet management objectives and ensure the smooth and compliant operations of the office. Providing leadership and direction for the financial aid staff which includes staff and student employees. Represents the office in national, statewide, and campus-wide meetings and conferences as needed. Similarly, when designated by the Director of Financial Aid, the Associate Director represents the office and the Director to external constituencies on their behalf. The Associate Director plays a key role in managing the office and ensuring that it is running smoothly and that the financial aid office staff are adhering to the myriad of laws, regulations, and policies governing the delivery of student financial aid at the federal, state, and university level. In the absence of the Director of Financial Aid, the Associate Director assumes full management responsibility for the Office of Student Financial Aid when necessary, ensuring continuity and an unbroken chain of management. In this capacity, the position directs the office operations and staff.

Position Information

Leadership and Personnel Management

  • Serves as the coordinator of training for enrollment management team members designated to work with
    students and their families on financial aid and planning issues
  • Assumes supervision of the financial aid staff in the absence of the Director of Student Financial Aid
  • Drives a culture of regulatory excellence within the Office of Student Financial Aid
  • Functions as the point of intervention before reaching the Director of Student Financial Aid for all student issues from within the office.
  • Participates in campus wide committees and task forces as assigned, particularly as they pertain to the enrollment funnel, admissions policies and procedures.
  • Contribute to division-wide initiatives to enhance the overall quality of services and programs at SF State
    Financial Aid Counseling and Outreach
    • Provides oversight and direction to the Financial Literacy and Outreach Coordinator in management of the
    • office's counseling unit.
    • Must possess a thorough understanding of federal, state and university laws, regulations and policies
    • concerning the application, verification, packaging, and delivery of student financial aid.
    • responsible for evaluating the counseling and outreach area to ensure they are working to the highest
    • degree of efficiency and proposing changes to office policies and/or procedures to that end.


    Special Case Management
    • Analyze complex student issues pertaining to financial aid involving unusual, sensitive, and complex circumstances to facilitate mutually acceptable resolution; provide comprehensive advisement and utilize counseling techniques to achieve said resolution
    • Serve as the point of referral for escalated unusual, difficult, and sensitive student cases for handling and resolving.
    • Must be knowledgeable and skilled at leveraging the available support services and resources.
    • Must be able to act quickly to defuse difficult and sometimes emotion-filled and/or heated situations and conversations.
    • Must be able to recognize students who warrant immediate or escalated assistance or services.
    • Handling and resolution of these cases may involve collaboration with any office on campus, including the President's Office, Vice President and Provost's Offices and any office within Student Affairs Enrollment
    • Management or Academic Affairs, Controller's Office, Student Financial Services Office, Ombudsman's Office, University Counsel, etc.
    • Exercise decision-making authority to change or adjust financial aid awards to applicants with special needs or circumstances
    • Follow up with students and parents to resolve discrepancies or other issues
    • Be available during evenings and weekends, as requested, to represent financial aid at campus recruitment,retention and outreach events and programs

Technical Skills: Possesses excellent analytical and technical skills. Ability to effectively use these skills when communicating with the various on and off-campus programs. Education: Bachelor's degree in counseling, education, management, public administration, or a related degree
    Demonstrated comprehensive knowledge, experience, proficiency and success
    • In managing represented staff under collective bargaining agreements
    • In the preparation, justification, forecasting, management, and monitoring of budgets
    • In defining, constructing, and performing complex economic analysis and modeling to evaluate life-cycle cost, payback purchase-lease alternatives, etc., as a basis for making operational business decisions
    • In developing and writing Request for Proposals (RFPs), service contract requirements and specifications, and performance and service contract specifications
    • In the identification, development and deployment of safety programs and accident prevention strategies as applicable to large facilities and/or organizations, industrial/institutional maintenance repair and renovation operations, and with consideration to CAL-OSHA Industrial Safety Orders
    • In the promotion and consistent use of administrative and supervisory skills to optimize program outcomes.
    • In written, oral and digital communications - to effectively communicate to all levels, and across organizational lines, of a large organization
    • In issue/problem prediction, detection, avoidance, mitigation, and resolution, including use of appropriate and/or required communication strategies involving stakeholders representing all facets of a large organization and client community (ex: staff, faculty, students, family members, alumni, donors, grantors, local government, community neighbors, emergency service and utility providers, contractors, experts, the general public, media. . .)
    • In coordinating the activities of a complex, multifaceted operation to provide effective support and services to a diverse, multicultural constituency


    Preferred Qualifications:

    • Familiarity with Oracle Campus Solutions (CS), United States Department of Education electronic access: National Student Loan Data System (NSLDS) and Common Origination & Disbursement System (COD) websites
