Position Description
Performs routine administrative support or technical program assistance work. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.

Major/Essential Functions
The College of Media & Communication at Texas Tech University is seeking a full-time Administrative Assistant for the Office of the Dean. The Administrative Assistant will be responsible with covering the following essential duties:
  • Provide administrative support to the Associate Dean for Administration & Finance to include, but not limited to scheduling face-to-face and zoom meetings, updating calendar, travel processes, P-Card reconciliation, budget revisions, handling filing system, assisting with scanning and/or copying for meetings, and other duties as assigned
  • Assist the College Manager with various building needs; FastTrack; building signature; opening rooms as needed; submitting and tracking work order; scheduling parking; scheduling conference rooms; etc.
  • Responsible to handle processes in the Key Management System and order keys for the college
  • Assist College Manager with new hire paperwork for new employees, e.g. new hire packets, I9 completion, background check paperwork, e-Verify approvals, etc.
  • Responsible for the weekly submission of purchase orders for the Deans Office and oversight of the supply room inventory
  • Responsible to handle Approved Driver submissions for the college
  • Responsible for Student Assistant hiring processes and payroll to include ePAF preparation, contacting Financial Aid regarding work-study awards, I9 preparation, etc. Responsible for the bi-weekly WTE approval and ensuring the accuracy of timesheets.
  • Responsible for coverage of the Dean's suite front desk, e.g., answering phones, directing visitors/faculty/students, assisting with Dean's Office meeting schedule, handling lost and found, and other duties assigned
  • Responsible for tasks associated with the smooth operation of the college to include, but not limited to college-wide announcements, coordination of Shred-Day, scheduling of conference rooms, etc.


Required Qualifications
Completion of high school or the equivalent. Five years office experience. Additional education may substitute for experience on a year for year basis.

  • Ability to manage multiple tasks and effectively plan, organize, and prioritize goals
  • Excellent organizational and time management skills
  • Excellent communication skills (both face-to-face and written)
  • Excellent work ethic and positive attitude are required
  • Ability to work in a fast-paced, rapidly changing environment and maintain positive work relationships with a diverse group of faculty, staff, alumni, and students
  • Knowledgeable in working in MS Word, MS Excel, MS Outlook, MS Publisher
  • Typing speed of at least 60 WPM
