Responsibilities
  • Manages Vice President Academic Affairs calendar.
  • Researches and prepares materials for all meetings, including collecting or creating meeting agendas; meeting minutes; coordinating special arrangements for the room for set up, ordering food, setting up phone for conference calls, Zoom meetings, etc.
  • Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities.
  • Prepares cover sheets for all documents for Provosts review.
  • Coordinates external constituents; potential donors, corporations, and members of public sector organizations. Liaise with state and local officials.
  • Manages multiple Academic Affairs events and initiatives. Liaise with Events Office for Provost Events and workshops. Manages all aspects of the Provost's daily schedule. Arranges meetings and prepares for a variety of special events.
  • Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule.
  • Coordinates project management system; data gathering, environmental scans, and data analysis. Assists Associate Provosts and Assistant Provost, as needed.
  • Prepares sensitive documents and reports related to faculty promotions, tenure, reappointments.
  • Coordinates Academic Affairs leadership searches, and administrative job searches for underlying offices. Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the institution.
  • Special projects as assigned by the VPAA.
  • Schedules and coordinates travel, including transportation, lodging, registration, and visa/passport as required. Completes travel reimbursement documents and travel expense reports
  • Maintain mailing lists and perform mail merges
  • Manages invoicing, requisitions and purchase orders
Qualifications
  • Bachelor's degree
  • 3 years' experience working directly for VP/Senior Management
  • Ability to work independently; Excellent time management skills; Strong organizational and project management skills; Ability to manage multiple priorities
  • Exceptional attention to detail and accuracy; Able to prioritize and demonstrates good judgment. Demonstrate leadership, creativity, and enthusiasm in facilitating goal accomplishment
  • Ability to provide senior management with comprehensive reporting. Strong communication skills with management, peers, and direct reports.

  • Good interpersonal skills and ability to function as a member of a team
  • Excellent technology skills. Proficient in PC/Windows and Apple/Macintosh. Microsoft Office (Word, Excel, Outlook and PowerPoint), Google Suite, Zoom/Skype, internet research

Preferred:
  • 7 years' experience working for VP/Senior Management
  • Higher Education experience
  • Master's degree
