Grant Financial Analyst

Position Status: Administrative Exempt Positions

Basic Function:
Review, analyze and monitor budgets and spending activity for a portfolio of sponsored awards to ensure compliance with sponsor and federal regulations, University policies, and specific award restrictions. Manage cash collection and grant receivables. Provide service to faculty and administrators for all research-related requests, including reporting, budget projections, IT system support, and other ad-hoc requests.

Principal Duties and Responsibilities

  • Review expenditure requests for available funding, allowability, and compliance with agency guidelines and OMB.
    Review and monitor research expenditures against awarded budgets. Ensure accuracy of all costs charged on award, assist research faculty with budgeting and forecasting, and provide ad-hoc support and information to research faculty and administrators.
    Prepare and submit required quarterly, annual, and final financial reports to sponsors.
    Review award and budget documents to determine and implement sponsor and award level reporting requirements as well as rebudgeting or allowable cost restrictions. Work with OSP to identify discrepancies and resolve problems.
    Ensure expenditures charged on portfolio of awards is in accordance with federal and sponsor terms and conditions.
    Run and analyze exception reports to ensure charges are compliant with federal and sponsor regulations.
    Calculate and perform monthly drawdown of NSF, DHS, ONR, DOE, DHHS, NIST, and DOEd funds.
    Generate invoices for subcontract research awards where WPI is the sub-recipient. Review spend categories and indirect cost charged to ensure accuracy.
    Perform subrecipient budget monitoring according to guidance, including monthly tracking of budget vs. expenditures.
    Reconcile outstanding grant receivables, maintain current invoice list, and follow up on unpaid invoices.
    Prepare journal entries and budget entries.
    Review and process independent contractor agreements and review and monitor submitted invoices.
    Assist with the annual financial and compliance audits.
    Provide backup to Senior Financial Administrators and Director of Sponsored Programs Accounting.
    Other duties as assigned.

    Position Requirements

  • Bachelors Degree in Accounting or related field preferred
    Proficient in Microsoft Excel, Word, and Outlook.
    Excellent oral and written skills and ability to communicate effectively with department heads, faculty, and departmental administrators while maintaining high level of confidentiality.
    Knowledge of Federal Regulations for Sponsored Programs preferred (Uniform Guidance, Sponsor Regulations)
