Office Assistant VI: Procurement Coordinator

Job Summary:

In addition to the duties associated with the Office Assistant I to V, the Office Assistant VI supports a department or unit by performing a variety of moderately complex to difficult tasks within one or more administrative functions. In addition, the Office Assistant VI provides guidance and interpretation on policies and procedures. The Office Assistant VI may hire, train and arrange work and time schedules for student assistants and may train and direct the work of junior level staff, checking work for accuracy.

Job Responsibilities:

Scope & Effect:
The Office Assistant VI develops contacts inside and outside of the university and works with contacts to anticipate future needs and changes. The Office Assistant VI may design forms and other necessary paperwork to implement these changes. The Office Assistant VI maintains or supervises the maintenance of a variety of office files, records, with cross-indices for rapid reference.

Contacts:
The Office Assistant VI works independently and within a team on special and ongoing projects to plan, coordinate or advise on projects or resolve operating problems. The Office Assistant VI acts as a liaison with other departments and outside agencies.

Supervisory Control:
The Office Assistant VI works under general supervision. The supervisor determines the objectives and deadlines of the work and assists the staff member with special assignments. The staff member plans and carries out the work and handles problems and deviations in accordance with established instructions. The Office Assistant VI may hire, train and arrange work and time schedules for student assistants and may train and direct the work of junior level staff, checking work for accuracy.

Primary Responsibilities:
Responsibilities include but not limited to:
? Coordinate delivery / pick up logistics with vendors and / or internal customers
? Process daily mail / package flow on behalf of Purchasing
? Warehousing and inventory control
? Clerical duties such as data entry, filing, spreadsheet creation and manipulation.
? Processing within Jaggaer or Banner Finance System (training will be provided)
? Answering incoming calls and basic purchasing / receiving inquiries
? Assist Purchasing staff members with day-to-day procurement / sourcing activities and projects, as assigned.
? Processing university order returns
? Support assistance for University Self-Service Copy/Print program as required
? Other duties as assigned

Minimum Requirements:

? Post high school education preferred.
? Training or experience equivalent to four years of increasingly responsible work experience or related education.
? Ability to delegate, train, and motivate students and junior level staff.
? Demonstrate familiarity with, or an ability to learn and interpret policies and procedures.
? Intermediate to advanced experience working with computer database systems, word processing and spreadsheet software.
? Ability to lift 50lbs
? Must be detail-oriented and have excellent computer skills.
? Must have strong oral, written communication skills, and clear handwriting abilities
? Must have a highly service-oriented attitude and initiative
? Capable of working under pressure and working independently.
? Ability to work after hours and weekends when necessary.
? Critical thinking skills to solve operational challenges

Additional Knowledge, Skills, and Abilities:

The Office Assistant VI requires knowledge of the policies and program goals to perform non-routine assignments and handle problems and deviations in accordance with established instructions, guidelines, or program goals. Specific procedures are carried out by the Office Assistant VI that affects the accuracy and reliability of further processes. The Office Assistant VI coordinates his/her work with the work of other departments and gathers information from one or many sources. The Office Assistant VI creates complex, technical and/or statistical reports and explains policies to students or others. The Office Assistant VI completes specific technical tasks (i.e. database management and payroll information preparation). The Office Assistant VI serves as a liaison to university committees and outside agencies.
