Job Summary:

The Program Manager for Academic Affairs assists two Associate Deans for Academic Affairs and provides administrative support for all responsibilities related to their respective portfolios. This position provides school-wide support for academic affairs, faculty development, strategic initiatives, special events, and the McGrath Institute.

Job Responsibilities:

Portfolio I: Academic Affairs & Faculty Development
Maintain Associate Deans calendar including confirming appointments, materials for appointments, and scheduling major meetings and events.
Assist the Associate Dean with operations procedures in providing oversight to academic programs on campus and in the branch campuses.
Assist the Associate Dean in documentation and updates of SOE policies and procedures and communication with academic departments.
Assist the Associate Dean in coordinating essential committees, meetings, and activities with timelines and relevant documentation.
Assist the Associate Dean in maintaining documentation and implementing policies on adjunct faculty with academic departments.
Generate Blue teaching effectiveness survey summary reports for adjunct faculty and brief summary report for fulltime faculty.
Coordinates logistics for all faculty searches in collaboration with the Assistant to the Dean.
Assist the Associate Dean and Director of Assessment with administrative support for CTC activities, i.e. CTC advisory board meetings.

Portfolio II: Academic Affairs and Strategic Initiatives

Assist Associate Dean in administration of all scholarship programs in the School of Education: social justice scholarship, recruitment scholarships and departmental scholarships. This includes communication with student applicants and coordination with faculty and scholarship committees on timelines, disbursement and selection.
Assist AD in administrative assistance to capacity building activities within programs and departments. This involves assistance with re-envisioning projects, program reviews and academic enhancement.
Provide oversight of doctoral policies and doctoral student affairs. This includes keeping track of faculty doctoral dissertation loads, helping in the process of refining the educational doctoral as well as updating the doctoral handbook as needed.
Maintain Associate Deans calendar including confirming appointments, materials for appointments, and scheduling major meetings and events.
Assist the Associate Dean and Director of Assessment with administrative support for program reviews and needed.
Assist with other aspects of the portfolio as assigned by Associate Dean.

Portfolio III: Events

  • Point person for School of Education/Deans Office sponsored meetings and special events such as school-wide meetings, Research and Pedagogy Symposium, doctoral hooding ceremony, and other events as specified by supervisor.
  • Point-person for Higher Education and Student Affairs (HESA) program preview days for enrolled students. Primary liaison to Office of Student Life.
  • Collaborate with Office of Communications and Outreach (OCO) and SOE Budget Manager to ensure marketing and budget needs are arranged for SOE events.
  • Arrange for room reservations, catering, equipment, invitations, preparation of materials and staffing.
  • Point-person for alumni-relations events and activities. Primary liaison to the university alumni office.
    Portfolio IV: McGrath Institute for Jesuit Catholic Education

Point person for all event planning connected to McGrath Institute for Jesuit Catholic Education.
Making logistical arrangements for events and scheduling of student assistants.
Coordinate social media presence for McGrath Institute
Maintain and keep up to date mailing lists of alums, benefactors, current students and friends of McGrath Institute.
Coordinate McGrath scholarship process each semester and student conference/event participation.
Coordinate financial transactions with SOE Business Manager and McGrath Institute.
Travel to domestic and international conferences representing the McGrath Institute, School of Education programs, and University of San Francisco.
Other responsibilities assigned by the Director of the McGrath Institute and the overseeing Associate Dean.

Minimum Requirements:

Position will require travel (i.e. Branch campuses, community organization meetings) and weekend work.

Qualifications:
A Bachelors degree is required.
A minimum of three years of prior high level administrative and project management experience is required.
Proficiency in Microsoft Word, PowerPoint, and Excel is required.
Applicants must have a strong attention to detail and a high degree of flexibility, as well as excellent analytical, grammar, editing, writing, collaboration, problem-solving, critical thinking skills.
Strong written and oral communication skills.
Demonstrated attention to detail including exceptional deadline management skills and internal client management.
Proactive in anticipating the needs of guests, clients and vendors.
Comfortable with change and shifting priorities.
Excellent interpersonal skills are essential.
Experience dealing with a variety of people in a professional manner.
