Program Assistant , Enrollment Services (Part Time)

Job Summary/Basic Function:
Program Assistants in Enrollment Services provide service at the front counter, as well as a variety of support tasks. Each person is responsible for interpreting a wide range of college policies and procedures.

Program Assistants educate new and current students on how to navigate college policies and procedures, conduct enrollment transactions for students, and provide students (or other persons) information and referral.

Program Assistants interpret test scores, transcripts and other pre-requisites or requirements to determine student qualifications, coordinate information with other offices to communicate policies and procedures, and support outreach events and testing services as needed.

Typical duties include:

1. Provide excellent customer service, via multiple mediums, to students, the community and college personnel.
2. With a high level of attention to detail, assist students and college personnel with student record updates/changes.
3. Determine non-standard tuition rates and enrollment classifications.
4. Interpret and implement state and federal policies regarding residency classifications.
5. Communicate orally and in writing with students; assure proper forms are distributed and updated.
6. Provide information to college staff regarding Enrollment Services processes and procedures.
7. Process student enrollment transactions, determine status, choose correct codes, assist student in understanding and following procedures.
8. Interpret college policies and procedures.
9. Provide information and referral.
10. Troubleshoot student questions/concerns.
11. Inform students of alternatives, as well as implications of registration decisions.
12. Communicate with other offices and personnel on campus for problem-solving or implementation issues.
13. Provide over-the-counter transcripts.
14. Support Registrar and Director of Admissions with data entry and scanning projects if workflow allows.
15. Support Testing Services and Admissions as needed
16. Answer the Enrollment Services general phone line and respond to voicemails and registration e-mails.
17. Other duties as assigned.

Minimum Qualifications:
High school diploma and two years of full-time clerical experience, or an equivalent combination of education and experience.
One or more years of experience providing customer service through various channels of communications such as: phone, email or in person contact.
Demonstrated computer skills that include word processing, data entry, and e-mail.
Demonstrated ability to work with others of various ethnic, cultural and socioeconomic background

Preferred Qualifications:
Fluency in at least one additional language to English
Demonstrated interpersonal communication skills
Experience in higher education and/or student services.

Work Hours: Work Hours may not exceed 69 hours per month. Shifts will typically be 4 hours, 4 days a week when Enrollment Services Team is present. Sample Schedule: Part Time Position 1: Monday Thursday 8:00 am 1:00 pm Part Time Position 2 Monday 2:30 pm 6:30 pm, Tuesday Thursday 1:00 pm 5:00 pm
