Position Summary:
Position Summary

The Financial Aid Program Specialist 2 - Seattle Promise is a full - time, classified position at Seattle Central College. This position will report to the campus Financial Aid Director and will be part of the district Seattle Colleges Seattle Promise Team. The Financial Aid Office is part of the Student Services Division and is supported by College Leadership. The Financial Aid Team prides itself as being responsive, innovative, and student centered in practice and in service delivery.

This position will provide student financial aid advising/counseling to prospective and currently enrolled Seattle Promise eligible students and their families, provide information and referrals for other funding sources, process applications, determine financial aid and loan eligibility, award student financial aid funds, and perform other tasks related to the administration and implementation of the student financial aid programs. This Program Specialist 2 will be assigned program responsibility and be the assigned Financial Aid point of contact for the Seattle Promise program and students.

Essential Functions

Program Responsibilities

  • Respectfully and effectively communicate and work with people from diverse backgrounds, such as racial, ethnic, religious, linguistic, gender, age, sexual orientation, and socio-economic and with diverse physical and learning abilities.
  • Provide complex counseling and assistance to students and staff when interpreting specific federal and state regulations unique to the functions of the financial aid programs, including federal loan programs.
  • Maintain expertise and up-to-date knowledge of all federal and state regulations for financial aid programs so the department can plan and react positively to constantly changing Federal, State and institutional regulations and guidance.
  • Within the specialized program(s) assigned, coordinate and monitor all aspects of the programs in conjunction with the financial aid application process.
  • Develop internal controls and quality assurance procedure for the program applicants.
  • Develop documents and forms needed for the program in collaboration with district Seattle Promise counterparts.
  • Monitor and reconcile student transactions within the program. Process the appropriate forms as needed to refund/charge program budgets.
  • Prepare and submit reports as requested, including quarterly and annual reports.
  • Attend and participate in development of the Seattle Promise program including but not limited to participation in on and off campus meetings, planning events, on and off campus presentations, and assistance with planning and facilitating Readiness Academies, and Summer Bridge programming. This position may require evening and weekend hours during certain times of the year.

Financial Aid Advising and File Review
  • Provide extensive financial aid counseling and advice to students and analyze any completed problems, give probably outcomes/solutions or recommend alternative course of action to complete their financial aid application process.
  • Review and analyze specific documents for unusual problems specific to program policies and procedures while determining financial aid eligibility and maintain compliance with Department of Education verification requirements.
  • Track and monitor student files for accuracy and completion in accordance with program practices, goals, and established deadlines. Complete final review of student files within established state and federal guidelines for awarding student files.
  • Complete required forms for Department of Homeland Security to resolve issues regarding citizenship status according to federal regulations.
  • Develop and/or conduct information sessions on the financial aid programs and application process for high schools and service organizations. Present financial aid information through the use of brochures, literature, and workshops directed toward students, parents and community groups.

Required Education, Experience & Abilities

  • Associate's Degree or equivalent
  • 1 year experience in Student Financial Aid, Student Services, or related field
  • Experience interpreting policies/procedures based on government regulations
  • Demonstrated work experience and commitment serving a diverse customer/student based setting
  • Excellent student-centered customer service, outstanding interpersonal skills, organizational skills and attention to detail
  • Excellent written and/or spoken English
  • Ability to work some evenings and weekends throughout the academic year
  • Ability to travel between Seattle Colleges and to other off site locations as needed
  • Must not be in default on any student loans
