PURPOSE:

Under the general supervision of the Director of Extended Education Programs and daily oversight of the Program Director for the Master of Science Physician Assistant (MSPA). The Program Specialist will perform a broad range of complex assignments, develops and oversees daily activities of the MSPA program within the College of Health Sciences and Human Services.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

  • Data collection, analysis, and reporting: Researches and analyzes program data to include clinical data, admission data, and curricular data for accreditation. In collaboration with the Program Director, researches and reports on evolving national PA curriculum standards, develops draft accreditation reports, collects data on other MSPA programs across the nation and proposes improvements to the program. Utilizes data management and software systems including Exxat, WebAdmit and AirTable to organize and analyze data and produce reports required by accreditation standards.
  • Project development, implementation, and evaluation: Assists the program director with design and completion of multiple projects including program review and annual academic and/or strategic planning. In collaboration with the program director, may assist in grant-related funding projects. Researches available grants and coordinates the development of grant proposals and other projects that support MSPA priorities and student success.Project development, implementation, and evaluation: In collaboration with the program director, may assist in grant-related funding projects.   • General Administration: Develops practical and creative administrative solutions for MSPA projects through consultation and coordination with others. Ensures services and systems are working effectively to support student success and meet program goals. Makes recommendations on day-to-day administrative operations and procedures, performing independently under general goals set by the program director. Handles complex inquiries and requests requiring interpretation and application of University policies and procedures and refers to appropriate personnel as needed.
  • Course Scheduling: In collaboration with program director, didactic coordinator and clinical coordinator, enters clinical assignments into EXXAT. Reviews and maintains the clinical schedule, utilizing reports to identify errors, conflicts, and inconsistencies. Notifies department leadership of issues and helps identify alternative times and locations when needed. Maintains room preference information. Represents MSPA at scheduling office meetings and disseminates essential information to faculty and staff.
  • Performs other job-related duties and special projects as assigned.


Knowledge, Skills and Abilities:
Knowledge of: the procedures and practices in educational program and curriculum planning; resources of the campus and the surrounding community; and the processes required to plan and construct academic programs and course outlines.

Ability to: determine needs for new or revised programs; plan course hours and credit; develop course outlines with instructors; locate instructors and to assist them in understanding and completing contract arrangements; develop budgets and analyze costs for grant projects; write promotional materials and to develop a variety of promotional techniques; represent the CSU system to the community and develop working relationships; manage logistics of providing classes; and maintain cost information and records.

Minimum Qualifications:
Education: Equivalent to graduation from a four-year college or university, preferably with courses in adult education and curriculum planning.

Experience: Equivalent to two years of experience in planning classes or programs in a specialized field or area, preferably in higher, extended, or adult education. Experience developing resources, budgets, and marketing plans for educational programs and in acting as a liaison with the community is desirable. Teaching experience in higher or extended education may be substituted for experience on a year-for-year basis.

Preferred Qualifications:
Proficient in Excel, preparing PowerPoint presentations to include statistical information, providing exceptional customer service, planning and executing events, writing policy, writing and presenting reports that require research, analysis and evaluation of information, and may require developing, recommending, and evaluating proposed solutions.

Masters degree in a health-related field (e.g., MPH). Experience with PA program curriculum development, experience working with grant proposals desired and a functional knowledge of clinical activity tracking software, ideally the EXXAT management system. Experience publishing in a healthcare or patient advocacy area would be helpful for this position.

Ability to establish and maintain cooperative working relationships within a diverse, academic environment. Exceptional ability to communicate verbally and in writing in a professional, persuasive and tactful manner. A strong customer service attitude and commitment is essential.

Experience involving the coordination of projects and administrative support functions in a large and/or complex office. Ability to: anticipate and meet department needs; take initiative to improve operations in a collaborative manner. Technical fluency with Microsoft Office Suite; G Suite (Gmail, Docs, Drive, and Calendar); intranet drives; EXXAT Clinical Rotation Management System; Adobe Software Suite, including photo editing software; Oracle-PeopleSoft (CMS) HR/Finance baseline system; and internet browsers.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time. Primary work location will be CSUMB at North Salinas but may require travel to CSUMB at Salinas City Center and the Main Campus. Any travel reimbursement will be in accordance with the CSUMB travel policy.
