Position Description
Advises individuals and provides guidance services regarding routine to complex issues in assigned area. Work is performed under general supervision in accordance with established policies and procedures.

Major/Essential Functions
Management of Daily Office Operations
  • Serve in a public relations role by providing information to callers and guests requiring information and making appropriate referrals.
Record Management
  • Maintain records such as payroll, staff rosters/ addresses, SECC Campaign, monthly statements, and dept. travel paperwork.
  • Assist the department with making copies of documents, checking documents for accuracy & update SDS.
Communication
  • Compose correspondence requiring knowledge of dept. policies and procedures.
  • Compile reports, letters, or other correspondence as needed.
  • Assist with sending and receiving faxes, incoming & outgoing mail & packages.
Facilities Management
  • Assist with facility management in renovation planning; communicate work orders, repair, and replacement needs, & support maintenance and custodial; develop a working knowledge of our departmental work order system.
Project Management
  • Manages and executes various projects assigned from others within the department, this requires time management, emphasis on priority decision making, and interdepartmental communications.
Information Management
  • Assure information is forwarded to appropriate offices which require daily communication;
  • Organizing and filing documents (hard copy and electronic); typing letters, memos, quarterly, annual, deferred maintenance & assessment reports.
Crisis Intervention/Response
  • Respond to phone calls, take information, contact appropriate dept. and campus personnel.
  • Communicate info in a timely manner while exercising confidentiality; exercise sound judgment and ethics in handling situations.
Professionalism
  • Keep work area clean and organized; seek out and utilize opportunities for professional growth.
  • Support the Service Plus Philosophy of Texas Tech University; complete other duties as assigned.
Knowledge and Support
  • Be knowledgeable of campus resources (campus maps, office locations, etc.) and share that information to assist others.
  • Assist the Incident Review Board to re-evaluate accidents that occur with the workplace.
Hiring
  • Participate in selection processes for various trades, custodial, and maintenance positions.
  • Assist with posting, interviewing, reference checks, and scheduling of candidates.
  • Work with housing business services to ensure hiring guidelines are followed.
Training and Development
  • Participate in monthly safety training, project meetings, leadership meetings, and various HR training.
  • Plans, organizes, and executes annual Move-In luncheon and team developments to recognize birthdays & holidays.


Required Qualifications
Bachelor's degree plus two (2) years related experience; OR a combination of education and/or progressively responsible related experience to equal six (6) years.

Preferred Qualifications
  • Experience working in an environment where customer service skills are utilized daily.
  • Ability to communicate in all forums, openly with the public.
  • Experience working in a higher education setting.
