Salary:
Salary Range: $3,897 - $6,846 per month
Anticipated Hiring Range: $3,897 - $4,300 per month

Organizational Description:
Technology Services provides administrative information services, core services, and desktop support to the Fresno State community. Our department consists of a well trained team of individuals dedicated to providing effective technology and quality services and support that are integrated into the daily activities of the entire campus.

Overview:
Working independently under the general supervision of the Deputy Chief Information Officer in Technology Services, the incumbent will provide administrative support to meet the mission of Technology Services by performing a wide range of specialized high-level administrative functions. Assignments include independently: coordinating tasks requiring timely and accurate planning, organizing, prioritizing, interpreting and decision making and discretion skills; as well as applying, interpreting and abiding by university and division level policies, procedures, and guidelines. Responsibilities include but not limited to providing advanced technical and administrative support to the Technology Services management team; coordinating the department web site copy updates/revisions; monitoring unit ongoing communication meetings and events; monitoring and reviewing absence management entries, payroll, travel, drafting and editing correspondence, event documents and reports; providing assistance with staff personnel transactions, and secretarial service for department staff committees/groups. The incumbent will also interface and effectively communicate with a diverse group of people; provide advisory service; and serve as custodian of all resource information/files for unit activities; and maintaining an open and effective work environment and rapport as a key information resource. The incumbent will provide administrative support with employment transactions, including coordinating recruitments and interviews with potential candidates. The incumbent will serve as the special assistant to the Deputy Chief Information Officer and provide assistance with and maintaining their calendar and overseeing travel planning, logistics and reimbursements.

Position Summary:
Major Duties of the job include:
  • Serve as the primary point of contact for the Technology Services division's administrative operations including travel, purchase requisitions, direct pays, employee transactions, absence management and payroll for both staff and student assistants
  • Oversee all travel related transactions including travel requests, expense claims, airline ticket purchases, hotel bookings and rental car reservations
  • Manage calendar for Deputy Chief Information Officer as it relates to proposed and requested meetings
  • Oversee all travel planning, coordinate logistics, and process reimbursements for the Deputy Chief Information Officer
  • Coordinate moves in the department, including ordering keys, furniture and space planning
  • Coordinate recruitments and other employment related transactions with the division, including communicating with and coordinating logistics for potential candidate interviews
  • Maintain official and proposed organizational charts for Technology Services
  • Coordinate all aspects of division-wide meetings, campus-wide meetings and multi-campus meetings.
  • Participate in decisions for resource allocation and administrative planning
  • Manage all department contact lists and listservs
  • Establish positive and productive relationships with the campus community, particularly the administrative areas of the campus
  • Provide assistance with tracking and logistical support for equipment refresh projects
  • Interact with vendor support staff, Technology Services staff and campus functional users in determining and implementing recommended resolutions
  • Coordinate with and maintain a positive working relationships with other information technology resources on campus to best serve the changing campus administrative computing needs
  • Provide recommendations to the management team on tactical and strategic technical resource decisions
  • Act as an internal and external resource on policy and procedural matters
    Secondary Duties of the job include:
  • Project coordination and follow up on tasks assigned

    Knowledge, Skills, and Abilities:
  • Working knowledge of fiscal analysis, as well as budget and purchasing policies and procedures
  • Thorough knowledge of office systems and the ability to use a broader range of technology, systems, and packages
  • Excellent written and verbal communication skills working with technical and non-technical audiences throughout various levels of an organization from individual contributors to executive leadership
  • Excellent organizational skills with attention to detail
  • Excellent analytical skills
  • Ability to:
    o Prioritize and organize tasks and projects including handling multiple priorities

    Education and Experience:
  • Bachelor's degree from a regionally accredited college or university and/ or equivalent training and Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • Four years of equivalent training and closely related administrative level assignments

    Preferred Skills:
  • Advanced PC utilization of MS Excel, and Word; proficient user of business related email and calendaring
  • Coordination of events and compose text for event programs
  • Understanding and applicable knowledge of a university organization and operations
  • Proficiency with online and cloud-based collaboration tools
