Job Description:
Oversee completion of all administrative tasks related to the daily operations of the Office of the Vice President of Student Services and Enrollment Management. Through high-level collaborations, the Staff Associate will support the Vice President in meeting strategic planning goals related to access, retention, and student success. The Staff Associate's role will emphasize advocacy for current and potential students through problem-solving, supportive interventions, accessing of internal and external resources, and addressing roadblocks to success.


Duties and Responsibilities:
Supervise Staff Assistant to the Vice President of Student Services and Enrollment Management. Provide Assistant with guidance and direction in relation to all job functions.
Oversee student financial and academic deficiency appeals by organizing the preparation, review, and evaluation of incoming appeals; directly assisting students with appeals involving complicated social and academic circumstances; collaborating with appeal committee members, academic affairs personnel, including academic deans and faculty members, and enrollment staff; developing and reviewing appeal policy and procedures; and maintaining student appeal records in accordance with record retention guidelines. Staff Associate will provide high level of advocacy for all students requesting assistance.
Demonstrate exemplary level of confidentiality in all student and personnel matters.
Serve as liaison to President's Office and division departments by responding to inquiries of a highly sensitive, complex, or urgent nature. Investigate complaints and make recommendations in a timely and professional manner.
Provide Vice President with information and documents as needed to conduct daily operations. Manage calendar through scheduling of internal and external meetings.
Support Vice President in all activities related to institutional mission, goals, and strategic plan; assisting with development of programmatic initiatives, organization of planning teams, implementation of policy and procedure, and management of projects.
Oversee Administration Building Welcome Kiosk by scheduling and supervising kiosk staff, and maintaining kiosk procedure manual.
Serve as division budget coordinator by meeting regularly with Director of Budgeting and Financial Reporting, analyzing overall division and departmental budget reports, and making recommendations to Vice President.
Communicate with external groups, individuals, and vendors on behalf of Vice President by coordinating meetings, webinars, phone calls and overseeing execution of contracts, service agreements, and other purchasing documents.
Participate in Vice President's Council of Deans and Directors, Enrollment Management meeting, and other meetings and trainings as requested. Represent Vice President at meetings as necessary and appropriate.
Manage all administrative tasks related to division personnel matters, including leave requests, performance evaluations, requests for personnel, organizational charts, and tenure. Staff Associate initiates personnel actions on behalf of the Vice President and other division administrators in Interview Exchange.
Assist Vice President with planning and implementation of division-wide and professional development events.

Requirements:
Bachelor's degree with Masters preferred and minimum of seven years administrative experience in a high profile, fast-paced office setting required. Must be a self-directed, self-motivated individual, committed to supporting senior leadership in a collaborative environment in which student advocacy is priority. Sound decision-making and judgment, strong critical thinking, extreme attention to detail, and excellent written and verbal communication skills are required. Position necessitates high level of discretion with respect to both student and personnel matters, with strict adherence to internal confidentiality policies and FERPA regulations. Individual must be an accomplished leader able to supervise staff, advocate for students, coordinate division resources, and support the Vice President in the completion of primary objectives.

Additional Information:

Non Unit Professional, full-time state funded with benefits

Hours: 37.5 hours a week

Salary: $51,070.00 - $63,838.00
