Strategic Enrollment Management Administrative Assistant

Job Summary:

The Strategic Enrollment Management (SEM) Administrative Assistant is responsible for providing a variety of administrative support duties to the Strategic Enrollment Management division. SEM is responsible for domestic and international student recruitment and admission, student financial services, and the registration, enrollment and matriculation of students through to their successful graduation at USF. Under the general direction of the Associate Director of Administrative Operations (ADAO), the SEM Administrative Assistant will work closely with the offices of SEM (Student Financial Services, University Registrar, Undergraduate Admission and Recruitment, International Recruitment and Admission, Integrated Enrollment Data Management, Enrollment Communications, Graduate Enrollment, and Digital Strategy and Online Enrollment Management) and will engage a diverse group of external constituents, visitors, and internal contacts at all levels of the organization.

Job Responsibilities:

Provides administrative services as point of contact for highly dynamic and fast paced
office
Schedules meetings, reserves rooms, organizes meeting materials, creates agendas, and prepares correspondence for SEM Leadership Team initiatives
Creates a warm, welcoming, and professional environment by greeting and directing visitors and providing outstanding service to callers and email inquiries
May create and develop new office work procedures to increase efficiency, maintain confidentiality, and improve work flow using knowledge of operations and creative problem-solving techniques
Support the ADAO of SEM to provide the administrative backbone for the logistics and efficient operations of the nearly 200 SEM staff members spread across the globe
Organizes and coordinates SEM events, confirming logistics, set up, and catering
Submits expense reports on behalf of the Vice Provost for Strategic Enrollment Management
Processes various administrative records and correspondence, enters information on computer and organizes and maintains office files
Provides administrative support for SEM employee searches including communicating with the candidates, scheduling interviews, etc.
Reviews and updates contact information for all SEM staff in directories and databases
Responsible for onboarding and training of new staff, office assignments, and general requests from staff
Performs other duties as assigned

Minimum Requirements:

Post high school education preferred
Training or experience equivalent to three years of increasingly responsible work experience or related education, preferably in higher education or the hospitality industry
Desire to work with and serve diverse communities for equity and inclusion
Proven ability to provide high-quality, administrative support in a geographically distributed work environment
Must be able to work independently without close supervision and as a member of a team
Ability to handle diverse situations, prioritize tasks, and meet demanding deadlines
Must have, or quickly develop, understanding of academic policy and administrative operations as well as credible stature with members of the academic community and general public
Excellent oral and written communication skills
Excellent organizational skills
Must know Microsoft Office software; familiarity working with database software also preferred
Occasional evening and weekend work expected
Ability to maintain confidentiality
Must be flexible and readily adaptable to change
An understanding of USFs Mission, Vision, and Values as integral parts of a Jesuit Education
