Job Summary/Basic Function:
Job Summary:
The Supervisor of Graduation and Transcripts oversees and maintains all graduation and transcript functions and duties for Lamar University and Lamar Institute of Technology (LIT).

Essential Job Functions:
Graduation:
  • Oversees graduation processing, including graduation applications, degree clearance and certification, associated work flow processes, commencement, diploma production and distribution for Lamar University and Lamar Institute of Technology (LIT)
  • Responsible for graduation controls for LU and LIT
  • Manually reviews audits to ensure degree clearance and certification for LU and oversees the review of audits and exceptions for LIT
  • Manually sets student up to apply for graduation
  • Verify final grades and GPA before awarding degrees
  • Award degrees using batch process in Banner for LU Graduate and LIT students
  • Update student records, as requested
  • Provide reports, as requested
  • Coordinate Graduation Fair with Undergraduate Graduate Coordinator
    o Secure vendors and departments to participate
    o Obtain door prizes and snacks to hand out
    o Pass out flyers
    o Send out correspondence to students to attend
    o Secure venue, mascots, volunteers
  • Coordinates Commencement ceremonies with Undergraduate Graduate Coordinator and Assistant Registrar
    o Facilitate and maintain inventory of diploma stock, tubes, envelopes, labels, and honor cords.
    o Ensure accuracy of information in the commencement program, on undergraduate diplomas, and for graduation-related information in Banner.
    o Secure volunteers to work
    o Develops and emails mass correspondence to graduating students
    o Prepares walking list, walking cards, maps, work assignments
    o Attends Commencement Committee meetings
    o Supervise workers during Commencement Ceremonies

    Transcripts:
  • Oversees transcript production and processes
  • Oversees Credential's transcript production
  • Oversees archived production
  • Process transcripts, as needed

    DegreeWorks:
  • Maintains degree audits for LIT, scribe computerized degree audits, resolves encoding issues, responds to accuracy issues and adds new approved plans, makes modifications and revisions
  • Serves as back up Scribe to LU degree audit system
  • Assist in training faculty and staff in DegreeWorks, best practices and procedures for LU and LIT

    Supervisory Responsibilities:
  • Oversee the supervision of assigned personnel
    o Work allocation
    o Employee training
    o Problem resolution
  • Manage departmental graduation email boxes (UG, GR, LIT)
  • Assist Assistant Registrar with developing, maintaining, and updating policies, procedures, processes, and job duties
  • Coordinate with Assistant Registrar and Administrative Assistant on ordering supplies for graduation and transcripts

    Additional Duties:
  • Serves on various committees as assigned
  • Attends meetings, seminars, and conferences on behalf of Records department
  • Work occasional evenings and Saturday for Commencement

    Minimum Qualifications:
    Education/Experience:
    Bachelors degree Preferred
    Minimum three years experience of progressively responsible experience in student records and registration in a higher education

    Knowledge, Skills, and Abilities:
    Comply with and adhere to Family Educational Rights and Privacy Act when dealing with public and university community.
    Knowledge of student information systems and degree audit systems, preferably Banner and DegreeWorks
    Understands the complexity of online audit coding
    Knowledge of trends, issues, and accepted practices relevant to the position
    Excellent communication, interpersonal, and organizational skills
    Strong logical and analytical problem-solving skills; critical thinking skills with attention to details
    Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community
    Strong organizational, time management and project planning skills
    Ability to work independently as well as on a team
    Strong initiative and the ability to coordinate multiple tasks simultaneously in a high-pressure environment
    Must be approachable and highly customer service oriented; must be detail-oriented, but also able to strategically conceive and coordinate long-term projects and events planned over a long period of time.
    Ability to effectively communicate with a wide range of individuals and constituencies in a diverse community
