ctcLink Project Manager

Job Summary/Basic Function:
JOB GOAL:
This position will report to the Executive Director of Information Technology and will be the liaison between the college and SBCTC (State Board for Community and Technical Colleges), vendor staff, executive staff, college area managers and front-line employees throughout the project. This position will work with all areas of the college to manage the organizational change activities associated with migrating from a legacy system to PeopleSoft (ctcLink). The ctcLink Project Manager will ensure that the college planning and implementation tasks are aligned with the ctcLink project schedule. This is a project based position and will last for the duration of the implementation of the project.

PERFORMANCE RESPONSIBILITIES:
Project Management

  • Provide active and direct leadership to the college implementation teams.
  • Manage the day-to-day adherence to schedule; provide early warning for schedule delays.
  • Conduct readiness assessments, evaluate results and present findings in a logical and easy to understand manner.
  • Collaborate with the project team and institutions to plan and execute college specific tasks within schedule and resource constraints.
  • Schedule and facilitate college specific project-related team meetings.
  • Prepare status reports on the progress and issues impacting implementation tasks; present to executive sponsor, senior leadership and other stakeholders.
  • Escalate critical issues to college leadership and SBCTC project management to prompt corrective actions.
  • Work with SBCTC agents and college peers on key activities while ensuring stakeholder support.

Organizational Change Management

  • Build and maintain working relationships with all departments on campus and members of assigned project team.
  • Develop and lead implementation of the Organizational Change Management (OCM) Plan.
  • Align the project to the OCM plan; coordinates change, ensures support, monitors productivity, minimizes disruption and manages risks with the campus.
  • Effectively communicate and coordinate OCM activities regarding major process changes across campus.
  • Identify potential people-side risks, anticipated points of resistance and develop specifics plans to mitigate or address concerns.
  • Create and manage measurement systems to track adoption, utilization and proficiency of individual changes.
  • Provide support and coaching to supervisors, front line managers and executive leaders and as they help their direct reports through transition.


Minimum Qualifications:
  • BA/BS degree in Project Management, Management, or Business Administration from an accredited institution. Will allow five (5) years experience as Project Manager or PMP Certification in lieu of degree
  • Three (3) years or more of demonstrated experience leading, coaching, and providing guidance and direction from planning through the implementation of large, critical organization-wide transition
  • Three (3) years or more of demonstrated experience with facilitation of business process analysis and redesign (such as Lean)
  • Demonstrated experience and knowledge of both the theoretical and practical aspects of organization adoption and change management
  • Demonstrated experience in leading cross-functional teams in multiple projects
  • Detail oriented with excellent organization and communication skills, presentation skills, conflict resolution and facilitation
  • Demonstrated commitment to diversity and the benefits of a commitment to cultural awareness and sensitivity in the workplace.

Work Hours: M-F, 8:00am-5:00pm. Hours beyond the normal business hours or travel may be needed to fulfill the duties of the position. Full time 12 month position. Exempt staff member with year to year contract.
