Position Summary
JOB SUMMARY: The Campaign and Stewardship Administrative Assistant will provide essential administrative support to the Campaign and Stewardship teams within the university's advancement office. This role is vital in ensuring the efficient operation of fundraising campaigns and stewardship activities, contributing to the university's advancement efforts. This is a part-time position, up to 18 hours per week and reports to the Director of Communications and Stewardship.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  1. Assist in the planning, coordination, and execution of fundraising campaign and stewardship events, including scheduling, venue arrangements, and catering.
  2. Support the preparation of campaign and stewardship materials, including campaign proposals, donor packets, stewardship reports, etc. for internal and external stakeholders.
  3. Assist with the development and implementation of donor recognition programs.
  4. Manage the Vice President of University Advancement's calendar and schedule Advancement team meetings as needed.
  5. Provide administrative support to the Board of Trustees Advancement Committee, including scheduling committee meetings, note taking, and distribution of meeting materials.
  6. Assist with the preparation and mailing of donor acknowledgment letters and other stewardship mailings, including coordination with the President's office when necessary.
  7. In coordination with the Director of Communications and Stewardship ensure that the alumni/friends website; e-newsletters; and social media platforms feature fresh content, including news, updates, fundraising progress, and event notifications.
  8. Handle donor inquiries and provide excellent customer service to alumni and other stakeholders.
  9. Perform general administrative tasks such as ordering donor recognition gifts, monthly credit card and reimbursement submissions, data entry, ordering office supplies and coordinating with vendors for office-related needs.
  10. Provide administrative support for special projects as assigned.

This is a fully on-campus position, requiring daily in-person interactions with students and other departments.


MINIMUM KNOWLEDGE AND SKILLS REQUIRED BY THE JOB:
  • Minimum of 2 years of administrative experience, preferably in a higher education or nonprofit environment.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion in handling sensitive information.


Preferred Qualifications:
  • Experience with event planning and coordination.
  • Experience with communications and social media.
  • Knowledge of fundraising principles and donor stewardship practices.
  • Familiarity with CRM systems and data management.
  • Experience working in a higher education setting.


Minimum Education level:

Associates degree or higher preferred; applicants without an associate degree with at least five years of administrative experience will be considered.

Computer skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and donor management software.


Other Requirements of the Job:

This position requires occasional evening and weekend work.
