Job Summary
Provides complex administrative support for the Division of Vascular Surgery faculty, staff and management. Coordinates and oversees the work of support staff.
Responsibilities
1. Assists department with business operations2. Maintains budget records, such as reconciling accounts and preparing expenditure statements3. Collects, organizes and analyses data including CV records4. Supports recruitment, onboarding and other human resource tasks5. Assists with the implementation of department and University policies and procedures6. Provides administrative support to upper level department management by scheduling appointments and coordinating meetings; maintaining licenses and certifications7. Handles office tasks, such as filing, generating reports and ordering supplies8. Coordinates travel arrangements, such as booking flights, cars, and securing hotel reservations9. Screens phone calls and routes callers to the appropriate party10. Supports division activities including holidays, special events, training, etc.
Minimum Qualifications
Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.
