Position Description

Reporting to the Dean of the College of Science and Engineering, the primary responsibilities of the Director of Budget and Operations is to provide financial, administrative, and human resource management services to support the business operations of the College. This position serves as the finance advisor to the Dean to identify areas of growth and to manage all the college's financial functions including annual budget preparations, budget planning, analysis, and reporting, personnel actions, and grants administration. This position is liaison to the Office of the Provost, Human Resources, and the central finance leadership of the university and the college.

The Director of Budget and Operations must understand complex administrative systems and a variety of different budget types. The Director of Budget and Operations must be able to navigate to solutions that meet university policies and procedures, state, and federal requirements.

Financial Administration and Operations:

  • Develop business cases for investments in academic programs with high growth propensity, including ROI (Return on investment) analysis.
  • Propose resource reallocation within the College to maximize the impact of the college's resources, in alignment with the university's strategic direction.
  • Use financial data and student data to provide insights about how to maximize both the financial and academic impact in the college's academic programs.
  • Direct and monitor the financial business operations of the College of Science and Engineering to ensure these units are appropriately resourced and that they steward those resources responsibly.
  • Manage the annual budget cycle in the College including the planning and implementation of budget planning activities, the review and analyses of budget requests, and the review of faculty and staff salaries.
  • Manage and track allocation of dedicated funding sources, including grants, equipment funding, faculty recruiting and development funds. Identifies and develops distribution models to ensure fair distribution of these funds.

Personnel Coordination:

  • Manage all aspects of the faculty contract process, including leaves and promotions.
  • Reconcile monthly faculty and staff payroll report for accuracy.
  • Work closely with departments and HR Academic Operations to oversee issuance of faculty letters of appointment and assist with the on boarding of all new faculty.
  • Monitor departmental teaching schedules to identify faculty scheduling issues and ensure resources are effectively utilized.
  • Provide training and support to department chairs regarding using and updating teaching schedules.

Project and Program Management:

  • Support programmatic management of college's research enterprise, including Summer Undergraduate Research and research related events.
  • At the direction of the Dean, lead specific initiatives and projects related to the business operations of the college: develop objectives, timelines, deliverables. Ensure project is completed efficiently and successfully.

Supervision:

  • Supervise 1-2 staff members: Hire, train, conduct performance reviews and initiate corrective action when necessary.
  • Train and supervise 7 Sr. Administrative Assistants regarding departmental budget management providing guidance regarding fiscal forms, policies, procedures and generally accepted accounting principles, affecting sound fiscal management practices and accountability. P
  • Provide back up for departmental budgets when Administrative Assistant positions are vacant.

Other Duties:

  • Maintain current policies and procedures for position.
  • Advise faculty and staff on university policies and procedures.
  • Perform other duties as assigned by the Dean of the College of Science and Engineering.


Qualifications

  • Bachelor's degree and minimum of 5 years' experience in educational administration, including office and budgetary management or an equivalent combination of education and experience sufficient to perform the duties of the position.
  • Strong oral and written communication skills as well as the interpersonal skills necessary for professional and harmonious interaction with students, faculty, and staff.
  • Skill in oversight of multiple budgets, including preparation of spreadsheets, records, and reports.
  • Knowledge and experience with database management systems and word processing. Familiarity with operations and staff academic administrative and support offices and student referral services.
  • Ability to maintain confidentiality. Excellent time management and organizational skills to manage multiple tasks concurrently and meet established deadlines.

Preferred Qualifications:

  • Preferably Business major.
  • Experience working with a variety of sponsors, including federal sponsors such as NSF, NIH, private foundations, and state and local governments. Familiarity with and experience interpreting Uniform Guidance 2 C.F.R Part 200 .
  • HR or payroll administrative experience.
  • Experience with faculty employment.

Compensation at a Glance

Salary Range: 70,000 - 78,000

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.

Hybrid Eligible

This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training.
