St. Catherine University invites applications for a dynamic and highly organized Administrative Assistant. The Administrative Assistant provides day to day support to the Vice President (VP) for
Enrollment & Marketing.
This position is responsible for a broad and complex set of assignments related to the duties of the VP along with completing administrative assignments for the area of Enrollment & Marketing.

Success in this role requires exceptional communication and interpersonal skills, strong judgment, the ability to navigate ambiguity, and the capacity to balance multiple priorities in a fast-paced environment. This position demands a high level of discretion, professionalism, and a demonstrated commitment to equity, inclusion, and student-centered service.

Responsibilities Include:
  • As the 1st point of contact for the VP of Enrollment & Marketing, the administrative assistant represents the division in a respectful and professional manner to both internal/external constituents.
  • Assist in coordinating a large amount of information, requests, and competing priorities, leveraging technology and exercising discretion and high degree of confidentiality.
  • Provide high level support, including initiation and leadership directly related to VP and their respective team.
  • Direct calendar management with independent decision making in managing conflicts and priorities.
  • Coordinate events and meeting logistics, both internal and external, telephone call and travel. Prepare for meetings, record and transcribe minutes at selected meeting groups, summarize meeting feedback and proofread documents as needed.
  • Room reservation and catering management for all meetings.
  • Coordination and planning for events for project meetings, team meetings, division meetings and meetings that may include leaders in their functional areas.
  • Management of emails, phone calls and meeting requests looking for priorities, urgent issues, and addressing contacts as appropriate to help manage workload of VP.
  • Help prepare and coordinate presentations and presentation materials as needed.
  • Shipping/Mail Management, taking mail to campus post office, picking up mail, organizing and maintaining paper and electronic filing systems, initiating recurring administrative processes, coordinating projects, and assisting and gathering required information and preparing reports.
  • Accurately prepare and submit monthly expense reports.
  • Organizes, coordinates, plans, and conducts departmental events by securing space, equipment, food, preparing invitations, announcements, agenda, packets, managing billing and payment process for venue and catering.
  • Provide technical Support Online for Video conference meetings, phone conferences, interviews, etc.
  • Order supplies.

Minimum Qualifications:
  • High School Diploma or GED
  • Experience with office management, meeting and event planning and problem solving
  • Experience managing a wide variety of tasks and projects, operating under tight
  • timelines
  • Experience creating a warm and professional welcome to all who interact with these executive leaders
  • Experience calmly and successfully serving dissatisfied customers Expert use of Microsoft Office software
  • A history of successful collaboration with multiple constituencies Proven ability to work with confidential matters
  • Ability to work collaboratively with multiple teams, with Senior Leadership and the Cabinet.
  • Capable of exercising a high degree of independent judgment and prioritizing work





Preferred Qualifications:
Compensation:
The hourly wage for this position is $18.00 - $21.00, depending on qualifications and experience.
