Job Summary
Provides complex administrative support for the Division of Family Planning, part of the Department of Obstetrics and Gynecology. Coordinates and oversees the work of support staff.
Responsibilities
Essential Functions
- Respond to provider emails and phone calls.
- Manage provider schedules in Qgenda. Including: make adjustments to Qgenda schedules pertaining to clinic schedules, call schedules, service schedules, vacation time, sick calls, etc. and pull Qgenda reports as needed.
- Coordinate and attend division meetings, trainings, etc. and take meeting minutes when needed.
- Answer messages from the call center, admin team, and other staff members in a timely manner.
- P-Card purchasing for the division for meals, gifts, parties/celebrations/retreats.
- Travel/conference coordination.
- Provider calendar management.
- Division chief administrative support.
- Family Planning RightFax support.
- Updating provider CV's.
- Support the Family Planning Admin pool in Epic.

Minimum Qualifications
Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.
