Position Description

We are looking for a motivated and detail-oriented admin assistant/program coordinator to join our team. You will be responsible for supporting the daily operations and activities of our sonography program, as well as assisting with process improvement.

The main duties and responsibilities include:

  • Manage departmental phone calls, requests, and inquiries.
  • Maintain order and efficiency in department spaces and files.
  • Manage and replenish laboratory and departmental supplies.
  • Assist with data collection for accreditation reports.
  • Maintain student records and faculty professional development files. and support admission events for prospective and admitted students (may require weekend availability).
  • Organize and oversee orientation, mentorship, and graduation events for current students to foster community and positive culture between cohorts.
  • Support orientation and training for new department hires.
  • Assist with scheduling and coordinating training events, guest speakers, and lab volunteers.
  • Coordinate scheduling and documentation of faculty and advisory board meetings.
  • Facilitate clinical placements of students in various clinical settings, ensuring compliance with onboarding requirements in a timely manner and building reliable and strong relationships with our clinical affiliates.
  • Coordinate cohort class officer nominations, class officer elections, and cohort awards.
  • Maintain consistent communication with students regarding the University, program, and available sonography resources.
  • Obtain financial quotes for equipment and software, and arrange demonstrations for prospective lab simulations, as needed, prior to purchase.
  • Other duties as assigned by Program Director.


Qualifications

  • Experience in an administrative or program coordination role highly preferred, specifically in an educational or healthcare setting.
  • Strong knowledge of the sonography field and program requirements.
  • A positive, solutions-oriented, and professional attitude.
  • Excellent communication, organizational, and interpersonal skills.
  • Proficiency in MS Office and other relevant software.
  • Ability to work independently and as part of a team, handling multiple tasks and deadlines with efficiency and accuracy.
  • Attention to detail and accuracy.
  • Problem-solving and critical thinking skills.

Compensation at a Glance

Salary Range: $26,000 -$27,000

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.
