Department Information

DEPARTMENT SPECIFIC TASKS AND RESPONSIBILITIES:
1. Count daily cash for deposit, reconcile and report all sales to Bursar and run reports and utilize information
2. Maintain cashier bags and handle cash per established guidelines
3. Log and report overages and shortages to Cashier Supervisors
4. Prepare Settlement Reports for accurate reporting of CC sales
5. Maintain records for MBS Buyback funds, used and remaining and AP records in MBS and permanent file
6. Verify receiving documentation matches invoice before paying and process AP invoices in timely manner
7. Check vendor statements to assure all invoices have been received
8. Answer all telephone inquiries from vendors
9. Research and resolve with supervisor all credits due from vendors and received/not invoiced

' Proficiency with cash counting and finding overages/shortages

Job Summary

Supports assigned department, location, unit and/or college by performing administrative tasks, including maintaining accounting records, processing transactions, reconciling accounts, and fielding communications with faculty, staff, students and vendors.

Responsibilities

KEY RESPONSIBILITIES:
1. Performs general accounting duties for the assigned area
2. Prepares invoice packets and reviews expense reports and invoices, checking for compliance
3. Reconciles accounts to general ledger
4. Prepares assigned grants and/or contracts
5. Manages assigned vendor accounts per established guidelines
6. Provides administrative support to the department by monitoring department inbox and phones, data entry, journal entry, filing and scans documents
7. Provides reports and queries as requested or assigned
8. Communicates with vendors, faculty and staff regarding reimbursement request discrepancies

Required Qualifications

Educational Requirements
High school diploma or equivalent

Required Experience
On-the-job training provided

Preferred Qualifications

Preferred Educational Qualifications
An undergraduate or advanced degree from an accredited institution of higher education related to accounting, finance, business or other related field

Preferred Experience
PeopleSoft software experience
Previous accounting or financial services experience

Proposed Salary

Proposed Salary Range
The budgeted salary range is 34,000 to 42,000. Offers are based on relevant experience. ABILITIES
Able to handle multiple tasks or projects at one time meeting assigned deadlines

KNOWLEDGE
Advanced data entry and 10 key skills
Understands accounting processes and basic bookkeeping procedures (Accounts Payable, Accounts Receivable)

SKILLS
Excellent interpersonal, initiative, teamwork, problem solving, independent judgment, organization, communication (verbal and written), time management, project management and presentation skills
Proficient with computer applications and programs associated with the position (i.e., Microsoft Office suite)
Strong attention to detail and follow up skills
Strong customer service skills and phone and e-mail etiquette
