Job Summary
Oversees procedural matters related to programs for the School of Medicine's Office of Continuing Medical Education (CME). Provides administrative support to senior department personnel. Plans and coordinates project scheduling, budgeting, and administrative tasks.

Responsibilities
Program Specialists, IDesign and implement one or more programs for the university that carry out the organization's mission. Set goals for each program. Determine benchmarks for successful and effective programs that achieve intended goals. Ensure that the programs and services provided reflect the needs and expectations of the community. Collect feedback from members, volunteers, and staff to improve future programs/services. Responsibilities may include fundraising, budgeting, and community outreach for assigned program(s). May manage special events that publicize the organization and its programs to the community. Requires basic skill set and proficiency. Conducts work assignments as directed. Closely supervised with little latitude for independent judgment.Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency) degree.This is an Entry-Level position in the General Professional track.Job Code: P23711Grade: P13
- Coordinating Regularly Scheduled Series (RSS) activities including preparing the Education Plan using planning worksheet, entering information into the CME Tracker database, maintaining and approving session documentation, etc.
- Facilitating financial relationship disclosure process. Includes collecting disclosures, ensuring reported relationships are mitigated, updating disclosure statements that are distributed before each activity, etc.
- Monitoring call-in system to ensure accuracy and efficiency of attendance data. Maintain the database, ensure accuracy of data, troubleshoot when issues arise, run reports, etc.
- Coordinating the annual RSS attendee/learner survey. Send link to the RSS coordinator, compile the survey results, send survey results for completion by the RSS Director, etc.
- Maintaining electronic records of each activity including adding documents to the shared files and ensuring all files are complete.
- Performing CME activity analysis and follow-up and assist in the CME program analysis and evaluation.
- Entering activity data into the annual Accreditation Council for Continuing Medical Education (ACCME) PARS Reporting System.
- Monitoring CME RSS mailboxes responding to questions, requests and inquiries.
- Serving as main point of contact with coordinators for issues related to RSS activities.
Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Department may hire employee at one of the following job levels:
Program Specialists, I: Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency) degree.
Program Specialists, II: Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.
Program Specialists, III: Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience.
