Work Schedule:
Monday - Friday, 8:00 AM - 5:00 PM; this is a temporary position to end on or before June 30, 2018 with a possibility of renewal on an annual basis if program needs exist.

Job Summary:
California State University, Fullerton is searching for an Administrative Support Assistant II. In coordination with the Clinical Placement Team, the Document Specialist facilitates all student clinical/practicum document clearance processes, maintain and update the School of Nursing's (SON) document management system and SON website for all clinical/practicum student clearance processes. Reads and interprets medical documents and additional documentation required for clinical/practicum clearance procedures. Orients students on how to order document management system through written documentation. Works closely with the Clinical Placement Analyst, other team members, advisors and staff to understand clinical documentation requirements for all partner facilities. Communicates clinical requirements to students each semester based on placements. Tracks student documents through the document management system or other systems as needed. Supports students with clinical/practicum onboarding clearance each semester. Meet varying deadlines for SON and clinical agencies. Serve as the contact person for all students' document verification. Communicates professionally with clinical agencies as needed to coordinate documentation requirements. Maintains confidentiality at all times and adheres to HIPAA and FERPA regulations. Supports all students and communicates with clinical faculty and/or program coordinators and advisors so that students are current with all required documents at all times, and provide/generate reports relating to student documents as needed. Other duties as assigned.



Essential Qualifications:
High School diploma or the equivalent and three years of experience in general office, clerical or secretarial work or the equivalent. General working knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of office methods, procedures, practices, and equipment. Thorough knowledge of English grammar, punctuation, and spelling with demonstrated competence in effectively presenting standard information in writing. Ability to learn, interpret independently, apply, and identify deviations from a variety of complex policies and procedures. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions. Ability to perform arithmetic functions of a transactional nature, including tracking and comparing data. Ability to work on the front line, with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills. Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions. Basic typing and keyboarding skills.
