Program Assistant V-Assistant to Senior Associate and Associate Dean, SONHP

Job Summary:
Provides administrative support to School of Nursing & Health Professions Senior Associate and Associate Deans while also assisting in program support as needed. Carries out duties and responsibilities with limited-to-no supervision, using independent judgement to prioritize and organize workload. This person's successful handling of academic affairs, program and departmental academic functions, and student services related questions and issues. Helps the programs to serve students, faculty and external contacts more effectively.

Administrative Support to the Associate Deans-90%
This person will provide administrative support to the Senior Associate and Associate Dean and the programs reporting to the Associate Dean This person will assist with processes such as the recruitment, admission, and clearance of students, management of program academics and supporting relationships with other university division as well as external partners.

General Administrative Support-10%
Provide occasional support at SONHP front desk, answering calls and processing requests. Provide back-up support to peer program assistants as needed. Perform other duties as assigned.

Full Job Description:

Job Responsibilities
  • Assist in the administration of programs in School of Nursing & Health Professions that report to the Associate Dean for Health Professions
  • Handle confidential, sensitive materials, correspondence and issues related to the SONHP students and programs.
  • Prepare and edits reports (e.g. enrollment, accreditation, projects with external partners), proposals, catalogue copy, meeting minutes, manuals and other routine correspondence for the Senior Associate and Associate Dean.
  • Managing the Senior Associate and Associate Dean's calendars.
  • Arrange for travel for the Senior Associate and Associate Deans.
  • Serve as the point person and act on behalf of the Associate Deans in their absence.
  • Maintain a filing system for the Senior Associate and Associate Deans.
  • File expense reports for the Senior Associate and Associate Deans.
  • Hire, supervise and train student workers and teacher assistants.
  • Review and approve timecards of student workers.
  • Compose and prepare correspondence answering routine requests and inquiries.
  • Seek answers to student and prospective student questions and follow up with information and appropriate referrals.
  • Create, revise, store and maintain, retrieve, edits and print a variety of documents, reports or records using work processing software.
  • Perform data processing duties, including use of Excel, Filemaker Pro, Banner, Tableau and other administrative information systems.
  • Plan and coordinate up to 10 partner events per year with outside agencies, to include managing the event budget.
  • Coordinating and set-up for meetings (Zoom and room scheduling)
  • Attend program and department planning meetings and/or school meetings.
  • Organize and staff events by making arrangements which may include promotion, announcing, rooming and catering as needed.


Minimum Requirements
  • Post high school education preferred.
  • Training or experience equivalent to five (5) years of increasingly responsible work experience in a senior support role or related education
  • Ability to work with a minimum of supervision.
  • Ability to solve issues using independent judgment.
  • Precise knowledge of office and university policy and procedures: comfort and experience with university systems.
  • Knowledge of Banner student software is a plus.
  • Demonstrated critical thinking, planning problem solving and interpretive skills to analyze situations.
  • Define problems, identify concerns develop and propose solutions.
  • Ability to work with variety of constituencies and explain complex rule-based systems with a high degree of service and compassion.
  • Appreciation of student privacy and understanding of FERPA regulations.
