Job Summary:

The College grant Administrative Support Coordinator (ASC) will support the Principal Investigator/Project Director (PI/PD) in proposal preparation for submission through closeout for grants/contracts. The ASC would coordinate closely with all units in the division/college, Office of Research and Sponsored Programs (ORSP/Pre-Award), the Office of Sponsored Programs Administration (SPA/Post award), Human Resources, Payroll, Accounting Services, Financial Aid, Procurement, and related offices.

Major duties and responsibilities:

Administration
  • Assist PI/PD in the completion of cost transfer forms, paperwork (including Concur), purchase requisitions in PeopleSoft Financials, and run data warehouse financial reports. The incumbent will assist completion of rebudget forms, prepare requests for invoices, and set up requests for the Decentralized Access Control System (DACS). The incumbent will ensure accuracy for each form before submittal and will coordinate with appropriate campus offices to resolve issues.

Human Resources
  • Assist PI/PDs with the completion of Personal Transaction Reports (PTRs) and timesheets, effort reports, cost-sharing reports, Faculty Additional Pay Authorization System, and Computerized Information Access (CIA) Requests. The incumbent will provide guidance in completing these items by explaining processes, forms, and use of the systems. As needed, coordinate with HR/Payroll personnel.

Policy Analysis
  • As appropriate, provide PI/PD with accurate UEC policy/procedure as per UEC Website, refer PI/PD to the correct SPA/Research Analyst (RA) or SPA/UEC HR (or liaison), UEC PR for general questions, and refer PI/PD to the Faculty Affairs website for questions on additional compensation. Assist/train when necessary.

Proposal Preparation and Compliance
  • Collect standard proposal forms and documentation(s) such as Biographical Sketch, Current and Pending Support Form, Financial Conflict of Interest Form, Institutional Review Board (IRB) forms, and other related compliance forms, gather the collection of enrollment, demographic, and graduation data, etc., as needed for submission or reporting, and draft support letters as needed. Coordinate with ORSP and Office of Compliance staff as appropriate.

Minimum Qualifications: Required Education and Experience
  • High School diploma or its equivalent AND five years of progressively responsible experience in general office clerical or secretarial work or the equivalent.

Required Qualifications
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software packages, technology, and systems.
  • Ability to interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to the work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.
  • Ability to identify and solve standard problems by applying independent judgment, discretion, and initiative and develop practical, thorough, and at times creative solutions.

Compensation and Benefits:

Anticipated Hiring Range: $3,505 - $4,000 Per Month

Classification Salary Range: $3,505 - $5,508 Per Month

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year. Position Information:

Work status: Full-time/Non-Exempt/Temporary (up to one year with the possibility of further renewal)

Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.
