Job Description:
Function & Scope:
Reporting to the Accounts Receivable Supervisor, the position will include responsibilities of analyzing sponsored program accounts to determine financial status and taking necessary action to file required reports and resolve issues regarding billings, financial reporting, account closeout, and collections. Significant contact with sponsors, campuses, and corporate offices is required. Must be able to interpret and adhere to state, federal, and private sponsor financial policies and procedures, and must work comfortably under deadlines.
Duties & Responsibilities:
- Responsible for the preparation and submission of all sponsor-required financial reports and invoices, including computation of the amount to be billed, analysis of indirect cost, cost sharing requirements, and property reports, in compliance with sponsor regulations for assigned campuses.Load and maintain information in the Oracle Accounts Receivable System.
- Responsible for the preparation, review, and input of carry forwards and closing documents, ensuring that all campus and sponsor requirements are being met.
- Responsible for facilities and administrative cost analysis and adjustment per the award guidelines and campus request.
- Monitor accounts receivable to identify accounts requiring subsequent collection action and perform collection duties on appropriate accounts.
- Responsible for other monitoring duties to include:
- Daily/Weekly cash receipt postings on nonbillable and billable accounts,
- Termed accounts and closeout, sending the Finalization request emails to Campuses as a reminder about upcoming Final Invoices/Reports.
- Past Due Invoice report
- Status of billings, financial report, and accounts receivable to ensure timely and accurate completion of required invoices.
- Responsible for other monitoring duties to include:
- Responsible for the resolution of inquiries related to invoices and/or financial status reports, to include sponsor and campus contact. Notifying Campuses about potential upcoming issues with the Awards.
- Review and assist with the interpretation of sponsor policies and procedures to ensure compliance.
- Responsible for electronic submission of billings/financial reports via the sponsor's electronic system.
- Significant contact with sponsors, campuses, and internal customers is required in performing collections on outstanding invoices. Ability to effectively resolve problems within the billings and collections system and assist in the development of enhancements.
- Work with central office and campus staff to review and analyze award documents, obtaining missing information as necessary and inputting into the Oracle system accurately.
- Other billing and collection projects as assigned.

Skill Requirements:
- Requires independent judgment and decision-making.
- Strong analytical and problem-solving ability.
- Outstanding communication and customer service skills.
- Proficiency in Excel.
- Familiarity with a wide range of electronic billing/invoicing software platforms.
Applicants may be asked to demonstrate technical competence as part of the screening process.
Education & Experience:
- Associate's Degree and knowledge of financial and billing systems required.
- Experience in bookkeeping and/or grant administration may substitute for degree requirements.
- Must be able to select and use various computer software applications, and be able to work independently, problem solve and think analytically.
- Adept experience in spreadsheet applications and other related computer tools is required.
- High math aptitude and good communication skills are required.
Compensation for this position: Thecompensation for this role is between $55,000- $58,000. Thepay will depend on a variety of factors that may include but are not limited to experience, education, training, and certifications
