University Relations, composed of the Development Office, Alumni Relations, and University Event Planning, builds Santa Clara University's excellence and character by strengthening relations with alumni, parents, and friends of the University, raising public awareness, and increasing private philanthropy, which supports the University's growth and reputation. POSITION PURPOSE
Reporting to the Director, Community Engagement, the Manager will advance the strategic goals and priorities of Santa Clara University through the development, coordination, implementation, and evaluation of alumni activities, events, and relationships across the country and around the world. These efforts will enhance the University's success in creating, nurturing and growing affinity with and among alumni, parents, and other external constituencies in order to strengthen engagement and lifelong relationships.
ESSENTIAL DUTIES AND RESPONSIBILITIES
In this position, the Manager, Community Engagement, will:
1. Community Engagement
- Manage a portfolio of SCU alumni communities
o As a community expert on assigned regions, coordinate a well-rounded schedule of offerings with strategic focus on serving a variety of interests and demographics, as set forth by the Community Engagement team reporting to the Director, Community Engagement
- Organize and deliver 25+ events annually for students, alumni, parents, and/or other external constituents within assigned communities
o Events may be a combination of both in-person and virtual in nature
o Ensure events reflect a broad variety of alumni interests including social, athletic, educational, spiritual, community service, etc.
- Recruit, steward, and recognize volunteer leaders, event-specific volunteers, and key regional University relationships
- Collaborate effectively with other members of the Community Engagement team and broader Alumni Relations team
- Monitor, track, analyze, and report metrics for community engagement efforts to achieve desired goals; provide data and analytics to the Alumni Association's quarterly and annual reports
- Support the key priorities and implementation of the Alumni Strategic Plan and maintain goals to increase unique engagement among our constituents, specifically as it relates to the Recent Alumni and One Family Key Priorities and overall community engagement efforts
2. Specialty Focus Areas
- Define, refine, and manage both the long-term strategy as well as annual goals for tailored alumni engagement efforts relating to Spirituality, Service, and a small portfolio of regional communities.
- Support fellow Alumni directors with Service and Spirituality program implementation within each of their assigned communities.
- Serve as an in-house expert on assigned specialty focus areas, staying up-to-date and well-informed about industry best practices and advising fellow Alumni directors appropriately
- Serve as a consultant to fellow Alumni directors as questions arise relating to assigned specialty focus areas and help navigate any issues in an informed way
3. Active Alumni Relations Team Member
- As part of the Alumni Relations team, contribute to the planning, development, and implementation of Alumni Association strategies, services, and offerings
- Develop and manage annual budget/operating plan for community engagement activities within your portfolio and specialty areas
- Assist with signature events and Alumni Association Board of Directors meetings throughout the year
- Plan and manage one reunion class each year in coordination with a Class Giving Officer
- Understand and actively work to exemplify the Alumni House Rules as a member of the Alumni Relations team
- Assist efforts to achieve University Relations goals, including but not limited to alumni participation, brandings efforts, campaign support, corporate engagement, and admissions support
- Serve as the key Alumni Relations liaison to other functional areas on campus, as assigned, with the goal of enhancing communications and collaboration opportunities across campus
- Other responsibilities to meet Alumni Association and University Relations goals strategic initiatives, as assigned
PROVIDES WORK DIRECTION
- Collaborate with and guide Alumni student assistants, as appropriate
- Identify opportunities to and enlist support from student assistants to support community engagement and other Alumni efforts, as appropriate, to promote efficiency and effective utilization of team resources
- Provide ongoing guidance to students to ensure assigned projects stay on track and are completed to quality standards
- Give students feedback on project performance and deliverables to help grow skills and increase the quality of future output
GENERAL GUIDELINES
- Recommends initiatives and implements programs and changes to improve quality and services
- Identifies and determines cause of problems; develops and presents recommendations to improve processes and practices; proactively implements new methods and ensures its success
- Maintains contact with constituents and solicits alumni feedback to leverage to improve programs and services
- Maximizes productivity through use of appropriate tools; planned training and performance initiatives
- Researches and cultivates resources to maintain an effective and efficient workflow
- Prepares progress reports to track goals; regularly informs supervisor of project status and any deviation from goals
- Ensures completeness, accuracy, and timeliness of all operational functions
- Prepares and submits reports as requested and required
- Composes and implements guidelines to support the functions of the unit
QUALIFICATIONS

2. Skills
- Strong verbal, written, and interpersonal communications skills
o Excellent public speaking and presentation skills
- Proven customer service experience to ensure constituent satisfaction and encourage further engagement
- Project management skills
o Own and drive multidimensional projects, ensuring all aspects are attended to and moving forward as appropriate
o Manage multiple projects simultaneously while meeting deadlines and providing excellent customer service in a fast-paced team environment
- Ability to manage volunteers effectively
o Serve as a motivational, inspiring and supportive resource, as well as skilled at holding others accountable and adapting as needed to meet desired goals
- Demonstrate initiative in resolving issues, with consideration given to improving existing processes, implementing best practices, and streamlining procedures.
- Strong attention to detail
- Proficient in Microsoft Office (Word, PowerPoint, Excel)
- Familiarity with Adobe InDesign, BlackBaud CRM (or similar database), BBIS (or similar offering), basic .html coding, and online social media tools a plus
3. Abilities
- Ability to work effectively, strategically, and tactfully with a wide range of internal and external groups
- Ability to work collaboratively and effectively with coworkers and cross-collaborate with external departments, sharing appropriate information in a timely and proactive fashion
- Ability to motivate, train, and organize volunteers
- Ability to exercise judgment and maintain confidentiality on a wide spectrum of topics and issues for which discretion is required
- Comfortable in social situations
- Willing and able to work during nonstandard business hours, which will include evenings and weekends
- Willingness to travel, as required
4. Education/Years of Experience
- Bachelor's degree required
- Three to five years of experience required in alumni relations, event planning, volunteer management and/or similar responsibilities, preferably in a higher education environment or a corporate environment
- Demonstrated supervisory/leadership experience
