Faculty Affairs Assistant

Requirements

Georgetown University in Qatar (GU-Q) is seeking a highly organized and proactive Faculty Affairs Assistant to join academic support team. This role provides essential administrative and logistical support to Faculty Affairs and the Energy Humanities program, contributing to the smooth planning and execution of academic events, guest visits, and departmental operations. The ideal candidate will have strong communication skills, a collaborative mindset, and a commitment to excellence in service delivery. As this position is based in Qatar and offers no relocation assistance, GU-Q is looking for locally based candidates only. This is a non-sponsored position that requires all applicants to already have the necessary sponsorship to live and work in Qatar.

Key Accountabilities
  • Provide administrative support to Faculty Affairs, including planning and coordinating meetings and activities.
  • Assist with logistical arrangements for events, ensuring alignment with budget requirements.
  • Support the Energy Humanities program through administrative tasks, event coordination, and guest visit management.


Key Activities
  • Coordinate and support faculty events, including logistics for guest speakers, preparation of materials, on-site assistance and guest relations.
  • Liaise with the Travel Office, Events, and Facilities teams to support event and guest logistics.
  • Update guest itineraries, manage office space setup, calendar scheduling, and on-campus support.
  • Manage and maintain departmental databases and prepare variety of documents, including reports and correspondence.
  • Design and produce marketing materials.
  • Provide logistical support with faculty recruitment processes and search-related activities.
  • Coordinate administrative tasks for class-related activities (e.g., catering, transportation)
  • Maintain inventory of office equipment and supplies, obtain estimates for ordering purposes, and order equipment and supplies as needed.
  • Provide departmental support managing the Energy Humanities email account, website, listserve and collaborators list, including posting regular updates and emails.
  • In collaboration with the Communications and Events teams, create and distribute publicity materials and conduct online research to identify scholars and institutes working on energy studies.


Qualifications
  • Bachelor's degree or an equivalent number of years of professional experience.
  • 1+ years of administrative or program support experience.
  • Experience in an academic setting or in a multicultural environment is preferred.
  • Experience in events coordination or budget management is preferred.
  • Familiarity with administrative and clerical procedures.
  • Familiarity with website management and email marketing platforms is preferred.
  • Strong service orientation and commitment to delivering high-quality support.
  • Strong verbal and written communication skills in English, with the ability to engage effectively with diverse stakeholders.
  • Excellent organizational and time-management abilities, with a keen attention to detail.
  • Proficiency in Windows and MS Office, Google Workspace, Zoom and Canva.
