Job Summary
Provide general office support for the Utah Area Health Education Center (AHEC).
Responsibilities
Program Communication:
- Email Centers for updates to include in the internal monthly newsletter.
- Compose and distribute the statewide monthly AHEC newsletter to the board and stakeholders.
- Coordinate semi-weekly leadership meetings.
- Collaborate with the Associate Director for weekly staff meetings.
- Maintain the AHEC Scholars Instagram page.
Manage Statewide Advisory Board and Subcommittees:
- Schedule meetings and manage Outlook invitations.
- Prepare and distribute agendas (meet one week prior to each meeting to set the agenda).
- Attend all meetings. Record and distribute meeting minutes.
- Coordinate catering services.
Utah Primary Care Summit:
- Schedule the Primary Care Summit date and distribute invitations.
- Organize PCS committee meetings, send reminders, and distribute minutes.
- Manage registrations and confirmations.
- Coordinate annual preceptor nominations and awards.
- Assist the Associate Director with agenda, speakers, program materials, etc.
AHEC Scholars Program:
- Coordinate academic program recruitment.
- Attend recruitment sessions in-person or virtually throughout the year.
- Manage scholar applications and approvals.Organize swag for scholars.
- Facilitate student access to the Canvas Course.
- Maintain Canvas course announcements, calendar, learning modules, reflection forms, student hours, etc.
- Plan the Annual Mentor Dinner/Kickoff Event.
- Organize Book Club meetings.
- Coordinate the End-of-Year Event.
- Conduct program evaluations.
- Arrange interprofessional case study events for AHEC Scholars.
Problem Solving
Incumbents in this position are expected to be familiar with the department's policies and procedures and have working knowledge of University and department organizations and procedures in order to answer and assist staff and visitors. Incumbents are also expected to demonstrate sensitivity to others' needs while being understanding and helpful on the job.

Minimum Qualifications
Associate's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience) required. Two years of related experience, ability to use logic and reasoning to prioritize tasks, expertise using MS Office software, and demonstrated human relation and effective communication skills also required. Database experience preferred. Bachelor's degree in a related field may be preferred.

Spanish as a second language is desirable.
