Job Summary:
Under the direct supervision of the Associate Director for Housing Administration, the Housing Assignments Coordinator is responsible for coordinating the room assignment and billing processes, as well as marketing and communication efforts, for the Office of Student Housing within the Division of Campus Operations.

As a member of the larger staff in Campus Operations, the Housing Assignments Coordinator collaborates and cooperates to provide efficient and effective processes and services to support a holistic student experience all while rooted in a Jesuit Catholic tradition.

Full Job Description:

Assignments and Operations
  • Manages all functions relating to the room assignments, meal plan assignment, room selection, room change, and room inspection processes.
  • Participates in the coordination of check-in and check-out processes for on-campus residents.
  • Develops and maintains analytical reporting tools to support occupancy projections and decision making.
  • Attends regular one-on-one meetings with the Associate Director for Housing Administration.
  • Attends regular Student Housing department meetings and Central Office meetings.
  • Serves on departmental, divisional, and university committees as assigned.


Marketing and Communication
  • Develops marketing and communication strategies to advertise and promote on-campus housing options and room selection processes.
  • Updates internal and external communications to reflect current information. This includes reviewing and updating the website inclusive of the annual review cycle and updates.
  • Works with the Office of Marketing and Communications to develop publications and marketing material consistent with the university brand.
  • Maintains and updates the housing application in close coordination with the assignments team to ensure the process is inclusive and accessible to all students using PortalX within StarRez.


Billing and Customer Services
  • Responsible for billing annual housing, meal plan, damage, and housing related miscellaneous charges.
  • Inputs student room and dining information into housing and university database systems (currently use StarRez and CSGold) as well as monitors information in the university's student information database:Banner.
  • Coordinates file maintenance of all documentation relating to assignments and billing.
  • Confers with, counsels, and advises students and parents relating to all aspects of room, board, and damage billing.
  • Responsible for managing all inquiries regarding room rents, damage charges, dining plans, and billing procedures as they relate to Student Accounts.
  • Obtains and processes all student damage billing, which may be initiated by the Residential Life staff, as well as communicated to the Associate Director, Operations and Facilities.
  • Provides customer service to students and staff in person, over the phone, and via email.
  • Establishes and maintains effective business relationships with peers in other university departments (Student Accounts, Athletics, Dining, OneCard, Etc.).
  • Responds to requests for student billing adjustments or grievances. When necessary, use conflict resolution to meet both the needs of the student and the department.
  • Updates and communicates policies related to housing billing. Assists with policies and procedures that guarantee the delivery of accurate, timely, and courteous service.
  • Manages the mail services systems for St. Anne Hall, including processing payments to the third party mail service provider.
  • Fosters a culture of service excellence and motivates staff to improve their quality of responsiveness of service.


Additional Responsibilities
  • Serve as a member of selected department and divisional committees.
  • Pursue professional self-development, and involvement in professional organizations and other areas within the Division of Campus Operations.
  • Participate in regional and international housing officers/student affairs professional organizations to develop new skills and experience and keep abreast of current research in college student personnel administration.
  • Other duties as assigned by the Associate Director for Housing Administration, Senior Director of Student Housing, Vice President of Campus Operations, or designee

IV. Supervision Received

The Coordinator reports to and is directly supervised by the Associate Director for Housing Administration. Verbal and email contact is expected on a regular and frequent basis. Written reports may be necessary as a follow-up to specific situations within the supervised communities. Decisions involving policy, procedures, and programs are at the discretion of the Associate Director.

V. Minimum Requirements

Bachelor's degree required with training and/or experience equivalent to two years of professional work with increasing responsibility including proven customer service and organizational abilities. Other requirements include, but are not limited to:
  • Strong oral and written communication skills.
  • Working knowledge of Microsoft Office applications including MS Word, Excel and Access; and HTML and basic web design.
  • Experience using StarRez and CSGold systems is preferred. Need to have an understanding of designing reporting tools using StarRez which may involve using custom SQL as well as an understanding of regression and trend modeling. Ability to analyze and implement necessary procedures, initiate action and discussion with peers in other departments to bring about required changes.
  • Ability to work some weekend and evening hours.
