Job Summary:
The School of Education (SOE) at the University of San Francisco (USF) invites applications for a full-time (12-month) position for a Credential (K-12) and Internship Assistant (Higher Education). This person will work directly with all SOE credential programs (K-12 Teacher Education, including Undergraduate Teacher Education Center; Special Education; PPS School Counseling; Administrative Services Credentials); serve as the liaison to the California Commission on Teacher Credentialing (CTC); and oversee the internship program.

Job Responsibilities

Credential Coordination :

Oversee all credential processing activities for all School of Education (SOE) credential programs:
  • Attend CA Commission on Teacher Credentialing (CTC) meetings and other relevant gatherings to stay informed on the current changes in CTC rules and regulations and updating faculty, staff, administration, and other stakeholders on state credential requirements; (NE)
  • Work closely and consult with the Director of Assessment, who is the primary liaison to the CTC for the School of Education, (NE)
  • Understand all program routes and offerings in the School, including all of the credential options available by the CTC, and advise accordingly to program and credentialing requirements;
  • Meet with and advise all credentialing students at five (5) campus sites (main campus and 4 additional locations - Pleasanton, Sacramento, San Jose, and Santa Rosa);
  • Develop and update USF/SOE policies and procedures pertaining to state credentialing for every credential program;
  • Process and recommend all credential applicants; review to ensure they are correct and complete before recommending to the CTC; (NE)
  • Collaborate with the school's Director of Assessment in overseeing program accreditation review activities;(NE)
  • Serve as consultant for program proposals, accreditation reports, and data reports to the CTC, WASC, and federal government;
  • Draft and send program enrollment verification letters to school districts and students for potential job opportunities; (NE)
  • Attend local and statewide meetings and conferences related to credentialing;(NE)
  • Actively participate in program committees relevant to programmatic and credential changes.(NE)
  • Create and update Memorandum of Understanding (MOU) with School Districts:(NE)
  • Work with placement coordinators to initiate/update and track all MOU documents with schools/school districts related to the placement of credential students in fieldwork positions;(NE)
  • Request insurance document from Risk Management and contract review, approval, and signature from legal counsel and University Provost;(NE)


Intern Credential Coordination:
  • Ensure students meet state and institutional guidelines for their intern credential
  • Provide guidance on coursework, fieldwork, and credentialing steps.
  • Act as a liaison between students, faculty, and school district partners.(NE)
  • Assist students in resolving academic or administrative issues.
  • Maintain relationships with mentor teachers and school administrators.(NE)
  • Monitor student progress and ensure alignment with credentialing standards.
  • Collect and track all documents from interns before recommending them for an intern credential;(NE)
  • Maintain intern (student data) database and communicate when necessary(NE)


Additional Knowledge, Skills and Abilities
  • Post high school education preferred.
  • At least 4 years of experience in an administrative support role
  • Previous administrative experience in graduate level university programs preferred
  • Knowledge of and familiarity with landscape of higher education in the Bay Area
  • Familiarity with California credential process preferred.
  • Excellent oral and written communication skills as well as experience of working collaboratively with faculty staff and external agencies, school districts, and organizations.
  • Strong knowledge of computers and related software (Microsoft Office Suite, Google Suite, Ellucian BANNER, Salesforce, etc.).
  • Detail-Ability to provide professional customer service.
  • Ability to work independently.
  • Detail-oriented and ability to manage multiple tasks simultaneously while meeting deadlines.
  • Ability to handle confidential material in a highly professional and discreet manner.
  • Experience with supporting graduate students and/or new professionals
  • Knowledgeable of justice and equity issues in educational and community contexts
