The Ann and H.J. Smead Aerospace Engineering Sciences (AES) Department encourages applications for the Student Support HR Coordinator! This position is responsible for providing human resources support for student employees in the department under the direction of the AES Senior Human Resources Coordinator and in collaboration with the College Human Resources department. This position manages the HR processes relevant to developing student job postings, student hourly hiring, TA/TF offer letters and hiring, GRA hires for AES and affiliated research centers, maintaining student employee appointments (late pay submissions, appointment issues as they arise), running training reports to support compliance, and storage of all required documents (offer letters, HRSC spreadsheets, biweekly timesheets). In collaboration with the finance, graduate team, Associate Chairs, and research centers, this position helps with all student personnel and payroll actions for the department.

What Your Key Responsibilities Will Be
HR/Payroll Support for Student Employment:
- Serves as Human Resources Liaison (HRL) for the department for student employment, and temporary staff appointments.
- Facilitates the hiring of all student employment with AES including the affiliated research centers (AMReC, BioServe, CCAR, RECUV, SWx). Partner with the graduate team and research centers to facilitate all offer letter generating, sending, and organization to the HR SharePoint. Submits hiring spreadsheet to HRSC to ensure all entries are submitted before HRSC deadlines. Partnering with Sr HR Coordinator to ensure strict hiring deadlines are met for all student appointments.
- Research student employee IDs and information pertaining to new hire or reappointment via HCM. Enters necessary information into center spreadsheets for appropriate HRSC transactions. Emails all students with more than two active appointments to ensure they adhere to the Student Employment workload policy.
- Emails new CU student employees the New Hire Form to ensure they are properly set up in HCM by HRSC.
- Tracks all graduate student employee appointments in the AES graduate student roster and appointment request program to ensure duplicate appointments do not occur. Tracks all graduate student appointments in the new CU graduate student tracker.
- Responsible for facilitating additional pay forms (APF) for student employees. List of employees obtained from the Graduate Program Manager.
- Posts all undergraduate student hourly positions in Handshake for the department and centers and maintaining the job postings until successfully filled. This includes dispositioning candidates via Handshake to close out the process.
- Onboards new student employees by requesting I-9 processing and sending resources of how to properly create and submit their biweekly timesheet. Sets up biweekly reminders for CCAR hourly employees to ensure timesheets are submitted by the deadline.
- Organizes and retains files to the HR SharePoint for the following: Student employment offer letters, HRSC Spreadsheets, Overload petitions from Graduate School, and biweekly timesheets.
- Manages all student hourly appointments within the department and centers to ensure biweekly timesheets are submitted and approved on time. This includes sending out biweekly emails to student employees and faculty.
- Maintains and processes all student late pay, non-pay, overpayment, and lost payment transactions with HRSC and Employee Services.
- Partners with HRSC to run personnel reports in the summer for all student employees in AES and all affiliated research centers. Works with research centers to confirm which student employee appointments qualify for termination.
- Handles internal promotion requests of student employees transitioning to temporary staff and temporary researcher roles. This includes internal promotion forms if applicable, routing a hiring checklist, posting the job through Avature, routing the offer letter and HRSC spreadsheet for entry.
- Works with front desk manager to ensure all separated employees lose access from the building.
- Partners with Sr HR Coordinator in handling all affiliated research center faculty addendums, promotion requests, salary increases, and separation and termination processes.
- Runs weekly reports to maintain compliance to all required student trainings within AES and affiliated research centers. Communicates with students via email to ensure trainings are completed. Communicates with supervisors for all non-compliant student employees. Staff and faculty may be added to this workload in the future.
Data Entry File Retention, and Additional Support:
- Completes HRSC spreadsheets under the direction of the Sr. HR Coordinator and sends to HRSC for completion. Follows up with HRSC representatives to ensure timely completion of requests.
- Reviews and organizes AES HR ticketing system to prioritize requests. Sends high priority and non-student requests to Sr. HR Coordinator. Responds to questions and closes out tickets as needed.
- Organizes HR files pertaining to staff, faculty, and student hires.
Other Duties:
- Serves as backup to the Sr. HR Coordinator when emergency situations arise that need to be taken care of in their absence.
- Assists with large department events where all other staff members are asked to provide support. These may include department graduation ceremonies, external advisory board meetings, and projects symposium.
What You Should Know
- This position is eligible for a hybrid work modality consistent with the College of Engineering and Applied Science work policy.
- Must be available to work during the high peak student employment hiring seasons such as the first two-three weeks of December. Flexibility will be required as hiring deadlines vary from semester to semester.
What We Can Offer
- The starting salary range for this position is $50,000 - $56,000 annually. Relocation assistance is available within department guidelines.

What We Require
- Bachelor's degree and at least 1+ years of experience directly related to the work assignment.
