Job Description:

Veterans Benefits at Madison College is seeking an Associate School Certifying Official to support the processing and administration of federal and state veterans' educational benefits, ensuring accurate certification and compliance with all applicable regulations. Key responsibilities include advising students and their families on benefits eligibility, maintaining detailed records for audits and reporting, and staying current with changes in regulatory requirements.

The Associate School Certifying Official contributes to the College's mission by facilitating timely access to educational benefits, strengthening support services for student veterans, and upholding compliance with federal and state guidelines.

This is a part-time position scheduled for 25 hours per week, year-round (52 weeks). Offering flexibility within operational hours on Monday and Tuesday from 8:00am to 4:30pm, and Wednesday through Friday from 8:00am to 6:00 pm. This position includes the option to work remotely up to three days per week, subject to change in accordance with Madison College policy.

Accountabilities:
  • Serves as the secondary Certifying Official for Federal and State veterans education programs, ensuring accurate processing and compliance with regulations to facilitate tuition payments and student benefits.
  • Advises current and prospective students and their families on veterans' educational benefits, collaborating with Veteran Resource Services to address eligibility concerns and provide accurate information.
  • Supports all aspects of veterans' education claims processing, assisting with process improvements to ensure accurate benefits distribution and data integrity.
  • Maintains and ensures the accuracy of records related to veterans' educational benefits to support compliance, audits and reporting requirements.
  • Builds and sustains internal and external relationships, participating in meetings, committees and task forces to share information, advocate for student veterans and enhance program effectiveness.
  • Monitors and communicates regulatory changes affecting student veterans and institutional operations to ensure compliance and informed decision-making.
  • Contributes to an inclusive, equitable and supportive environment where everyone at the institution feels valued, respected and empowered to reach their full potential.
  • Adheres to college policies, directives and work rules while maintaining a commitment to the college's mission, vision and values.
  • Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.


Knowledge, Skills & Abilities:
  • Knowledge of Federal and State veterans' educational benefits programs, regulations and compliance requirements.
  • Knowledge of records management practices and audit requirements.
  • Skill in interpreting and relaying regulatory changes.
  • Ability to support and improve veterans' education claims processing.
  • Ability to navigate complex financial aid and educational benefit claim information.
  • Ability to manage multiple processes, meet deadlines and maintain accuracy in a fast-paced environment.
  • Skill in engaging positively with all populations and communities, contributing to a safe and inclusive learning and work environment.
  • Skill in effectively and respectfully communicating with others.


Minimum Requirements:
  • Associate degree or equivalent working experience. *Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.
  • 1-3 years of relevant work experience directly related to the skills required for successfully performing the duties of this position.
