The Staff Associate for Office of Institutional Advancement plays a crucial role in supporting the goals of the Massasoit Community College Office of Institutional Advancement. This position involves close collaboration with all members of the Advancement team to sustain and expand the initiatives overseen by the Office of Advancement. The individual in this role will provide comprehensive support to the Advancement Office team, particularly in the areas of database management, overall support of several annual events and communications, donor and alumni engagement, and office management. Key responsibilities are managing the office's database, ensuring its accuracy, generating reports, and processing all gifts. Supporting College events with internal/external community members and being an integral team member ensuring the smooth operation and success of the department, supporting all essential functions, and contributing to the overall mission of the Office of Institutional Advancement.
Essential Functions:
The duties of the Staff Associate for Office of Institutional Advancement include, but are not limited to:
- Manage the day-to-day functions of the donor database, ensuring data integrity by updating contact information and documentation. Train additional staff in effective database usage and best practices. Create departmental SOPs.
- Manage the Award Spring Scholarship by processing and tracking applications and send out all communications to both applicants and reviewers.
- Assist the Advancement Office with all mailers, including but not limited to alumni communications and Fall & Spring Annual Fund mailings, by requesting quotes and collaborating with the College's Communication Department on writing and designing these communications.
- Create and maintain an office-wide digital calendar to track office workflow, output, tasks, events, annual mailers, and other activities. Ensure the calendar is updated regularly and can be followed and adjusted year after year.
- Process daily donations, prepare acknowledgment letters, pledge reminders, and other donor correspondence promptly.
- Assist with the preparation for quarterly Massasoit Community College Foundation Board meetings and subcommittee meetings. Develop minutes that accurately depict conversations and actions taken.
- Maintain all donor files, including individual, foundation, and corporate donors, ensuring confidentiality of donor information. Ensure all files are complete and up to date.
- Assist in tracking and recording donations, creating and reconcile deposits, and preparing associated financial reports.
- Plan and support events by setting up online registrations, processing registrations, mailing, and tracking attendance through the database. Manage and assist with day-of event needs.
- Familiarize and learn different College software programs and form submittals as needed to ensure efficient office operations. Process invoices and reimbursement requests.
- Provide general office assistance such as filing, mail merging, ordering supplies, and working on multiple spreadsheets. Maintain office supplies inventory and organization.
- Oversee incoming correspondence and phone calls, take accurate messages, channel calls to appropriate personnel, and respond to general inquiries.
- Perform other related duties as assigned by the Director of Advancement.
Job Requirements:
Minimum of an associate's degree.
1-3 years of experience working in the Advancement/Development field in a non-profit or educational setting.
Experience working within a relational database.
Proficient with Microsoft Office Suite: Word, Outlook, PowerPoint, Excel, and Teams.
Preferred Qualifications:
Bachelor's degree
3-5 years of experience working in the Advancement/Development field in the non-profit or educational setting.
3-5 years of experience working with a relational database.
Additional Information:
Position Status: Full-Time Benefited Non Unit Professional
Hours: 37.5 hours per week
Salary: $64, 387-$80,484 annually. Salary is commensurate with education and experience.
Worksite: Assignments will include all Massasoit sites and additional locations as necessary.
