Position Announcement
Utah Valley University is seeking a detail-oriented and collaborative Administrative Assistant to support the First Generation Student Success team. In this dynamic role, you will play a key part in helping students succeed by providing essential administrative and operational support to multiple units, including First Gen, TRIO, and GEAR UP-First Year Services. You'll help coordinate meetings, plan events, manage budgets, support procurement processes, and contribute to the smooth daily operations of the office.

Summary of Responsibilities
- Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining information requiring knowledge of policies/procedures of both assigned and work-related areas. Coordinates the preparation and submission of reports, publications, newsletters, etc.
- Serve as resource for students emailing, calling, or visiting the FGSSC, connecting them to the appropriate support services and helping them schedule appointments with full-time and student staff members.
- Performs financial activities for First Gen, Trio, & Gear Up, including time approval and new-hire paperwork completion & submission, requisitions, purchase orders, travel, EPAF and scholarship processing. Serves as department expert on procurement processes and procedures. Maintains inventory of office equipment and supplies. Coordinates with multiple individuals/entities on and off-campus to further the mission of each department. Maintain knowledge of university policy and department procedures to ensure compliance.
- Acts as liaison for the Directors as necessary to university administration, staff, students. Assists with projects, serves on committees within the institution.
- Assist with tasks, projects, and events for Native Excellence and Tribal Engagement and Care Hub as needed.
- Perform other job-related duties as assigned.
Qualifications / Licenses / Certifications
Graduation from an accredited institution with a bachelor's related to the Summary of Duties or any combination of education and/or experience totaling four years.
Preferred Qualifications
Experience with Pcard and facilities management.
Knowledge / Skills / Abilities
Knowledge
- Knowledge of planning, scheduling, and event coordination
- Knowledge of Banner, Office Suite, and other UVU software
- Knowledge of campus resources and intake process for each area
- Exceptional customer service focus, creating a warm and positive environment for students, employees, and guests.
- Proficiency in budget tracking and reconciliation is essential for managing financial aspects.
- Familiarity with managing tech inventory ensures that office equipment and supplies are well-maintained.
- The ability to handle requisitions, purchase orders (POs), and work orders efficiently is important for smooth office operations.
- Excellent organizational skills including ability to multi-task, meet tight deadlines, maintain composure, and resolve sensitive issues in a fast-paced, high pressure environment.

- Skills in the use of computers and software applications including word processing, spreadsheets, cloud storage, email, internet, databases, presentation tools, and campus systems.
