Operations Manager for EPE

Requirements

Key Accountabilities
  • Oversee the daily operations and administrative processes of Executive and Professional Education including program logistics, finance, budgeting, facilities management, information technology, and human resources in accordance with university policies and procedures.
  • Support operational processes improvement to increase efficiency and effectiveness.
  • In the absence of the Associate Dean for Executive Education, supervise operations and staff and represent EPE in internal meetings.
  • Serve as the first point of contact for faculty, staff, students, and visitors over the phone, via e-mail, or in person.


Key Activities
  • Assist the Associate Dean for Executive Education with the update and tracking of goals and strategic initiatives for the department.
  • Oversee the execution of departmental projects and cross-functional initiatives.
  • Manage logistical arrangements for program participants and instructors.
  • Identify opportunities for process improvements and implement best practices.
  • Review technical and commercial proposals.
  • Manage administrative tasks in EPE such as scheduling, synchronizing calendars, data entry, record keeping.
  • Develop and communicate Standard Office Procedures (SOPs) for various administrative tasks.
  • Assist the department and the Associate Dean for Executive Education in the preparation of a variety of documents, including reports, presentations, correspondence and documents as needed.
  • Schedule and coordinate appointments and meetings for the department and the Associate Dean for Executive Education.
  • Maintain effective data entry, record management and filing system for the department.
  • Oversee the updating and maintenance of the EPE website.
  • Maintain inventory of office equipment and supplies; order equipment/supplies as needed.
  • Coordinate with Finance to manage documentation, invoicing, and track accounts receivable and payable, ensuring compliance with GU-Q policies and financial norms.
  • Contribute to EPE budget and expense tracking and monitoring; facilitate necessary approvals.
  • Act as liaison with GU-Q departments and external stakeholders to obtain and/or provide information on unit activities and projects.
  • Support on EPE assigned project-based work when needed.
  • Assist with the execution and troubleshooting for EPE programs as needed.
  • Facilitate EPE meetings and take notes as needed.
  • Maintain the physical appearance of the department, including requesting repairs from facilities and building operations as needed.


Knowledge and Skills
  • Excellent understanding in the following areas:
    • Modern office practices, procedures, and equipment
    • Record management, retention norms, and best practices
    • Customer Relations Management
  • Proactive approach to tasks and taking initiative.
  • Ability to act independently and exercise own judgement.
  • Meticulous attention to detail and quality.
  • Proven ability to manage multiple tasks and deadlines.
  • Excellent critical and analytical thinking skills.
  • Excellent English language writing skills, presentation, and organizational skills.
  • Strong proficiency with Microsoft Office Suite, particularly with Excel.
  • Financial acumen and knowledge of financial practices would be a plus.


Qualifications
  • Bachelor's degree.


Experience
  • 4+ years of relevant work experience in providing administrative and operational support to a department.
  • Supervisory experience would be a plus.
