A. POSITION PURPOSE

The Off-Campus Area Coordinator assists with the planning, administration, implementation, and assessment of the University-wide programs and initiatives supporting all off campus students. While receiving strategic guidance and general instructions from the Assistant Dean for Off-Campus Student Life, the incumbent exercises professional judgment within established procedures and practices to facilitate an integrated academic environment in collaboration with the entire Santa Clara community. The Area Coordinator is the direct supervisor for student staff and provides support for students' adjustment to living off campus. This is a full time, 12-month position, requiring living in a provided apartment, flexibility of work hours and work performed on weekends and evenings.

B. ESSENTIAL DUTIES AND RESPONSIBILITIES
Educational Programming and Off-Campus Student Support
  • Coordinate and assess new and legacy educational programming in support of the eight dimensions of wellness for off campus students. Legacy programming includes the Off Campus Housing Orientation, the Annual Walkabout, and Halloween Picnic in the Park.
  • Primary responsibility for the student development functions for students living off campus in the neighborhood surrounding campus. This includes leading efforts to create an environment, which promotes citizenship, respect, growth, academic success, compassion, and inclusive excellence among student staff and off campus students.
  • Mediate, intake, and respond to off campus student concerns, including concerns with leases and tenants' rights.
  • Build relationships and partnerships with local City of Santa Clara and County of Santa Clara resources to provide support for students' adjustment to living off-campus.
  • Responsible for creating and distributing all communication from the Off-Campus Living Office for programming, events, City of Santa Clara announcements and any timely safety and security notices for off campus students.
  • Stay current on trends in community relations with City and Local Governments, including attendance at local training and workshops such as the Santa Clara Citizen's Police Academy.
  • Support the overall promotion of the university philosophy on alcohol and other drug education, enforcement, and reduction of high-risk drinking and other drug use through student and staff trainings, development of policies, and programs such as new student orientation and Welcome Weeks programming.
  • Work with the Wellness Center to develop and facilitate the training for the student staff on information related to alcohol and other drugs.
  • Develop and implement alcohol and other drug specific programming for off campus students using University collected data and Division of Student Life collected data.
  • Promote and build department collaborations with the Off-Campus Living Office and University departments and related outside groups.
  • Develop relationships and partnerships with City of Santa Clara officials, and property managers to respond to student and local community needs, sometimes serving as a mediator to resolve conflict.
  • Facilitate opportunities for students living off campus to explore and engage with the local community to cultivate an appreciation for the city of Santa Clara.


Other Administrative Responsibilities
  • Maintain and verify the content and users of the Off-Campus Living rental listings website and database.
  • Manage administrative responsibilities such as weekly reports to supervisor, the Assistant Dean for Off-Campus Student Life.
  • Manage other responsibilities designated by the Assistant Dean for Off-Campus Student Life and generated by the needs of off campus students and the staff member's own interest and initiative.
  • Act for the Assistant Dean for Off-Campus Student Life in their absence
  • Serve on University-wide, Division and Departmental committees as a representative of the Dean of Students Office, as appropriate to areas of responsibility.


Policy and Procedure Development, Interpretation, and Implementation
  • Responsible for the education of all off-campus residents, in reference to university policies and regulations, City of Santa Clara Laws and Codes, and other applicable State and Federal Codes and Laws including implementation and enforcement of policies when applicable.
  • Serve as a member of the Dean of Students Office staff providing advice, consultation, and support in the development of University-wide policies and procedures, and responses to issues and trends affecting the campus. Provide staff support and assistance related to interpretation and implementation of University-wide policies.
  • Provide leadership and consultation in responding to student needs and campus issues related to student life, especially off-campus students.
  • Serve as a campus security authority when informed of allegations regulated under the Clery Act.
  • Serve as a responsible employee for allegations regulated under Title IX.


C. PROVIDES WORK DIRECTION

While receiving strategic guidance and general instructions from the Assistant Dean for Off-Campus Student Life, the Off-Campus Area Coordinator provides work direction, leadership, and supervision for the Off-Campus Living office and student staff. The incumbent works collaboratively and provides leadership and consultation for colleagues within the Division of Student Life relating to off-campus students.

Supervision
  • Select, train and supervise a team of student staff.
  • Responsible for the training, and education, and development of the staff and staff development.
  • Student staff development responsibilities include developing an effective team, leading weekly meetings, empowering student growth and providing support, leadership, and supervision on a daily basis.


D. GENERAL GUIDELINES
  • Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices.
  • Recommends initiatives and implements changes to improve quality and services.
  • Maintains contact with customers and solicits feedback for improved services.
  • Maximizes productivity through use of appropriate tools; planned training and performance initiatives.
  • Develops resources that create a timely and efficient workflow.
  • Prepares progress reports; informs supervisor of project status; and any deviation from goals. Ensures completeness, accuracy and timeliness of all operational functions.
  • Prepares and submits reports as requested and required.
  • Develops and implements guidelines to support the functions of the unit.


E. QUALIFICATIONS

  • Knowledge of higher education environment and understanding and support of the Jesuit tradition of education, which includes a commitment to the fundamental commitment and values of service to others, community, and diversity. c. Abilities

  • Demonstrated ability to exercise sound judgment in accordance with established policies and regulations. Ability to work on projects, events and programming independently to completion.

d. Education and Years of Experience
  • Bachelor's degree required.
  • At least 3 years of responsible work in an academic setting or related field.
  • Preferred Qualifications: Master's degree in higher education administration, college student services, education, counseling or related field.

The work environment characteristics described below are representative of those an employee encounters while performing the essential functions of this job.
  • Due to the live-in nature and high visibility of the position, it is essential that Area Coordinators model the values of a Jesuit, Catholic university and demonstrate commitment to the mission of Santa Clara University. This is a full time, 12-month position, requiring flexibility of work hours, including work performed on weekends and evenings. A one-bedroom apartment, which can be furnished, is provided for this position.
  • Maintain a positive presence within the neighborhood surrounding campus by being visible and accessible to students and role modeling responsible behavior, personal integrity and commitment to Jesuit philosophy of education of the whole person.
  • Capacity to work in a 24-hour/7-day environment with the ability to quickly respond to situations and individuals and the ability to handle situations with students living off campus.
  • Work in a typical indoor office environment.
