Position Summary:
The Office Coordinator consistently demonstrates exceptional leadership and organizational skills while efficiently supervising front desk staff and operations. They work closely with their supervisor, with additional responsibilities in hiring, team training, and team leadership. This role presents a unique chance to showcase leadership abilities and contribute to the overall success of the front desk team. This role requires exceptional multitasking abilities, process-oriented thinking, and a keen eye for detail to ensure a smooth workflow in a fast-paced office environment.

Job Duties:
Front Desk Supervision: Supervise the Orientation Assistants, oversee the day-to-day operations and assist in the seamless operation of the front desk, ensuring all administrative tasks are efficiently handled. Greet visitors, manage incoming calls, emails, and inquiries, and uphold excellent customer service standards.
Orientation Session and Logistics Support: Manage logistics related to orientation sessions including, but not limited to - staffing and managing guest sign up during orientation sessions, overseeing hold removal, supporting Visual Zen processes and procedures for guests.
Process Creation and Optimization: Develop and implement streamlined processes to increase efficiency, accuracy, and productivity across the front desk and administrative tasks. Continuously assess and optimize these processes to enhance efficiency and productivity of all front desk student employees.
Team Leadership: Take on a more prominent leadership role by guiding and motivating the team of 6 office assistants. Foster a positive and collaborative work environment, offering support, feedback, and mentorship to team members.
Recruitment and Hiring: In coordination with OTR Office Manager, recruit and manage the logistics of the hiring process for new Office Assistants for the Orientation, Transfer and Reengagement office.
Training and Development: Co-design comprehensive training programs for new office assistants and conduct onboarding sessions alongside their supervisor. Organize ongoing training to ensure the team stays updated on office policies, procedures, and customer service best practices.
Task Delegation and Coordination: Collaborate with the supervisor to allocate tasks and responsibilities to office assistants based on their strengths and expertise. Coordinate and monitor progress to ensure timely completion of assignments.
Calendar and Schedule Management: Assist the supervisor in managing schedules, appointments, and meetings. Collaborate with team members to ensure optimal time management and prioritize tasks effectively.
Documentation and Record-Keeping: Oversee the maintenance of accurate records and files, both physical and digital, while ensuring confidentiality and compliance with data protection regulations of MSU Denver.
Problem-Solving and Decision-Making: Exhibits strong problem-solving skills to address challenges in day-to-day operations. Works closely with the supervisor and team to make well-informed decisions that drive positive outcomes.
Office Supplies and Inventory Management: Maintains an organized inventory to ensure seamless office operations. Collaborates closely with the supervisor to assess inventory levels, anticipate upcoming demands, and initiate timely procurement or restocking to avoid any disruptions in workflow. Orientation Programming Design: Represent Office Assistants on Orientation Redesign Committee on the cross-campus collaborative effort.
Quality Assurance: Implement regular quality checks to ensure adherence to office procedures and customer service standards. Identify areas for improvement and take proactive measures to enhance service quality.
Requirements:
- At least two years experience within Orientation, Transfer, and Reengagement
- Proven experience in office administration, front desk management, and/or team leadership.
- Excellent organizational, communication, and interpersonal skills.
- Strong leadership capabilities with a track record of motivating and guiding a team.
- Proficiency in using office software and tools, such as MS Office Suite.
- Detail-oriented and committed to maintaining accuracy in all tasks.
- Problem-solving mindset with the ability to handle challenges effectively.
- Prior experience in creating and optimizing office processes is a significant advantage.
Working Conditions:
As an Assistant Front Desk Manager, you will continue to work in an office environment, collaborating closely with team members and interacting with visitors, students, and professional staff. The role may involve some standing, lifting, and carrying of light office supplies. The position may require occasional flexibility in working hours to accommodate business needs.
*Please note that this is a Full Time Temp Hourly role with a 9-month contract limit*
