Reporting to the Managing Director, the Temporary Senior Associate Director will be responsible for operational oversight of the Center's programs for students, alumni, faculty, and boards.
As the Baker Retailing Center continues to establish itself as a premier hub for retail-related research and thought leadership, this role will serve as the cornerstone for programming, financial management, and operations. This role will collaborate and provide guidance to a team of a full-time Program Coordinator, student workers and professional service providers to manage all aspects of our programs and events (primarily in Philadelphia and NYC). These events range from small student gatherings to high-profile conferences and summits attended by C-level executives.
This temporary position will provide coverage for the Senior Associate Director of Operations, Finance & Administration during her maternity leave, ensuring seamless continuity of the Center's day-to-day operations, financial processes, and administrative functions.
Job Description
DUTIES:
- Provide oversight and manage all operational aspects of Center programs and events for students, alumni, faculty, and industry leaders, primarily in Philadelphia and NYC. This person would be the lead for logistics, coordination, communication, and managing outside vendors.
- Oversee and review the center's financials. Maintain a running expense tracker in excel and regularly reconcile it with BEN Financials reports to ensure accuracy.
- Manage and lead the center's marketing efforts, collaborating with multiple providers and, when necessary, coordinating with Wharton Marketing and Communications. Manage the full process and relationships with professional service providers, including those supporting social media, program promotion, website development and maintenance, ghostwriting, and public relations.
- Collaborate and provide guidance to Program Coordinator and student workers to ensure efficient workflow within the team including managing IT and facilities related requests.
- Additional duties as assigned.
Travel may be required to NYC.
Qualifications:
A bachelor's degree is required and a minimum of 5 years of experience or an equivalent combination of education and experience. Experience with financial and accounting processes. Must have ability to manage multiple projects in a goal- and deadline-oriented environment and to work independently and as a strong team player. Excellent interpersonal and communication skills (written and oral). Excellent organization skills and attention to detail required. Familiarity with Ben Financials and experience with expense processing and business reporting tools is preferred but not necessary.
