Job Summary:

Under the supervision of the Assistant Director of Outreach and On-Campus Experience, this position plays a key role in advancing student success by coordinating all communications and activities related to college outreach events, student and community tours, and prospective student engagement. This role supports the college's recruitment and outreach efforts by serving as a liaison to departments, managing logistics for on- and off-campus events, and ensuring high-quality, student-centered experiences. The position will be responsible for the ongoing oversight, development, assessment, and improvements of the student ambassador program to enhance student service delivery during tours, registration room support, and outreach activities. This position will also represent the College at external and community engagement events to build awareness, strengthen partnerships, and promote educational opportunities to prospective students and key stakeholders. Other duties include: collecting and analyzing event and tour activity data, preparing evaluation reports, coordinating the College's prospective student event schedule, and coordinating with the Assistant Director of Outreach and On-Campus Experience and Public Relations and Marketing on outreach materials. A key aspect of this position is assisting with the development and planning of key outreach and on-campus activities including, but not limited to, the annual open house and regional college fairs.

Job Description:

Student and Customer Service (35%)

Assist the Assistant Director of Outreach and On-Campus Experience with the development and implementation of outreach activities (both on and off-campus), student and community tours, virtual events, and on-campus interdepartmental events to engage prospective students in the college's offerings and build connections to CLC as an institution of choice for prospective students.

Represent the College at external and community engagement events to build CLC awareness, strengthen partnerships, and promote educational opportunities to prospective students and key stakeholders, while ensuring students are connected to the CLC admission form or interest form for lead generation.

Support and oversee services provided in the Registration Room to ensure consistent delivery of key services, including student account access, CLC portal and Navigate guidance, course registration and schedule building, student calling campaigns, financial aid forms, transfer applications and other resources, and being able to pivot to meet student need.

Provide excellent customer service and mitigate issues to ensure a high-quality guest experience for all interactions with the Student Ambassador program, and all Outreach and On-Campus Experience events.

Develop and utilize various technologies, including online sessions, to provide innovative ways to conduct outreach and deliver tours and events that are inclusive and meet the student where they are.


Project and Process management (35%)
 

Coordinate and review event correspondence and related materials to ensure that all correspondence and materials related to Outreach and On Campus Experience events given to students are friendly, informative, timely and accurate.

Maintain records and generate monthly reports on all outreach, tour, and event activities. Compile student feedback survey data on daily, weekly, and monthly basis.

Develop and maintain registration websites for all events and ensure accurate record keeping through event software and registration tools.

Research community college and university trends regarding outreach, tours, and on-campus events and present recommendations to the Assistant Director.

Develop and monitor a process to evaluate all events and assist the Assistant Director in creating reports so that participant data is captured in the college tool for subsequent tracking of application and enrollment status.

Maintain a college calendar of internal and external events geared towards prospective student engagement and coordinate with campus stakeholders on representation at events.

Coordinate the assembling of program materials, giveaways, handouts, evaluations, and promotional materials.

Personnel Management (25%)

Assist with hiring and training of Student Ambassadors to ensure their optimal effectiveness in providing students services in the Registration Room, on campus tours, and through interactions with prospective students and families during campus visits, off campus events, and all other outreach activities and events.

Ensure Student Ambassadors provide high quality tours that highlight areas of interest according to prospective student academic programs or student/family/interests.

Other (5%)

Coordinate arrangements and maintain open lines of communication with staff from other departments as well as external consultants, vendors, suppliers, and partners to ensure event success.

Assist with coordinating event dates, guests/speakers, and sites, including audiovisual and catering needs, room reservations, communicating details and plans to all necessary team members.

Support other CLC activities and events (internally and externally) as part of the responsibility of the Outreach and On-Campus Experience area.

Required qualifications

1. Associate's degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.  
2. Strong organizational and communication skills. 
3. Research and analysis skills. 
4. Proficiency in Word and Excel. 

5. Supervisory experience.

Work Schedule:

Monday through Friday, 
9:00 a.m. - 2:00 p.m. 

Hours vary according to needs; some evenings and weekend required.

Pay:
$19.15/hr
