Utah Valley University invites skilled administrative professionals to join our Financial Aid and Scholarships team in a role that makes a meaningful impact on student success. Under the direction of the Sr. Director of Financial Aid and Scholarships, this position plays a key role in ensuring the smooth and efficient operations of the office. The successful candidate will provide high-level, confidential administrative support, coordinate meetings and events, oversee administrative student employees, and actively contribute to the department's initiatives.

This position offers the opportunity to work independently with minimal supervision while collaborating with a dedicated team committed to helping students achieve their educational goals. With a focus on operational excellence, problem-solving, and proactive support, you will help ensure our processes run seamlessly and our students and staff receive the highest level of service.

Summary of Responsibilities


  • Performs confidential administrative support duties for the Sr. Director including scheduling and time management. Exercises discretion in committing time and evaluating needs. Coordinates travel, purchasing, and budget tasks for the Sr. Director. Regularly review and assess financial reports with Sr Director to ensure transparency and accountability.
  • Manages a team of student administrative support including hiring, firing, training, onboarding and performance management. Coordinates scheduling to cover front of office walk-in traffic, deliveries, etc. Coordinates feedback from administrative support stakeholders.
  • Acts as departmental point-of-contact for various administrative responsibilities. Composes inter-department and campus correspondence. Maintains and disburses meeting agendas, records, and meeting minutes. Performs a wide range of administrative tasks.
  • Monitors the hiring processes for the department by processing position requests for department positions. Processes necessary paperwork for staff changes, including new hire paperwork. Assist in the onboarding efforts of new employees. Support and assist in employee recognition.
  • Coordinates department financial activities through Banner and Wolverine Marketplace which include requisitions, purchase orders, travel requests, mileage reimbursements, contracts, etc.


Qualifications / Licenses / Certifications

Graduation from an accredited institution with an Associate's degree in a related field and one year of related experience OR an equivalent combination of education and/or experience related to the Summary of Duties totaling three years.

  • Knowledge in research, analysis, preparation, and interpretation of data, reports, agendas, minutes, and other related documents.
