Position Description
The Senior Program Coordinator serves as the initial point of contact and resource for current and prospective students and their families, and tribal communities. This position provides a wide array of programming and administrative support to the Senior Director and the Indigenous Peoples Institute. This role will help to ensure effective operations, policy management, and procedures of the Indigenous Peoples Institute in a nurturing, confidential work environment, with broad internal and external stakeholders. This work includes supporting the retention, programming, and initiatives of our Indigenous students and their communities. This is an on-campus position and reports to the Senior Director for the Indigenous Peoples Institute.
Duties and Responsibilities:
Administrative and Program Oversight 40%
- Manage and coordinate daily operations and administrative functions for Indigenous Peoples Institute.
- Greet students and visitors, provide prompt and clear communication, create a friendly and welcoming environment at IPI.
- Supervise and coach student employees, ensuring effective performance and professional development in alignment with operational goals.
- Work in collaboration with the Senior Director to plan and implement budgets, including entering purchase orders, expenditures, reimbursements, periodic assessments, adjustments, and recommendations.
- Project management including venues, contracts, vendors, understanding SU policies and requirements, communications, staffing, agenda. Development of surveys and productivity reports.
- Provide analysis and synthesis to inform existing and proposed events and visitation efforts, programs, and initiatives based on enrollment benchmarks and database reports. Recommend outreach and recruitment strategy improvements and efficiencies.
- Develop creative ways to collect relevant data to inform strategy.
Program Development and Coordination 30%
- Coordinate programming based on best practices and professional development, ensuring effective use of resources and alignment with leadership goals.
- Work with the Senior Director to develop, plan, and coordinate student support programs, seminars, workshops, and courses that emphasize student success and align with the vision, mission, and guiding principles of IPI and the university.
- Coordinate logistics and execution for all on-campus events, including registration, gathering materials, scheduling, advertising, set-up, food orders, etc. Plan and coordinate a wide range of events each year.
- Hire, train, and supervise student employees when needed.
- Serve as a liaison between students, parents, colleges/universities, community agencies, tribal communities, and across SU campus.
- Manage the IPI website, creating user-friendly content and tools to assist the campus community with understanding IPI programs and resources.
- Policy Advisory and Community Engagement 20%
- Assist the Senior Director with strategic planning of the Indigenous Peoples Institute, including annual calendar, trainings, budgeting, hiring, and student outreach and recruitment. Serve as manager in absence of the Senior Director.
Interface with campus groups, including university departments and student organizations, to enhance community collaboration and support. - Evaluate programmatic impact through student satisfaction surveys and event attendance to incorporate best practices into reports and strategic planning.
Other Related Duties 10%
- Perform office support tasks: file documents in a shared drive, distribute mail, manage print tasks. Maintain department supplies and inventory.
- Participate in training courses and relevant professional development activities to support individual and departmental growth. Work to operationalize and integrate relevant learning from these trainings into the work and programming.
- Continuously work to identify and address inequities within the work and oneself, with a commitment to improvement.
- Take thoughtful, strategic risks to foster a more engaged and inclusive student community.
- Lead and/or contribute to special projects and/or initiatives, as requested, that relate to advancing the mission, vision, values, and goals of IPI.
- Serve, collaborate, and actively participate in university-wide committees or projects as needed.
Qualifications
- Bachelor's degree and three years of experience with administrative support and program coordination, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the position.
- Commitment to providing excellent service and support across various demographics beyond and within the Seattle University campus.
- Demonstrated ability to handle sensitive and confidential matters.
- Experience working with Native American Indigenous/Alaska Native peoples and familiarity with challenges facing both urban and rural communities.
- Fearless communicator with demonstrated in-person, social media, and strong writing skills.
- Knowledge of the Indigenous practices and customs of the Coast Salish region and Washington State, along with an understanding of the historical context, cultural uniqueness, and sovereignty of Tribal Nations.
- Must be able to work effectively independently and as part of a team.
- Proficiency in Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Teams, SharePoint, Canva and Adobe Acrobat.
- Skilled in organizing and executing tasks, with the ability to manage multiple projects simultaneously while taking initiative and offering support to colleagues as needed.
- Strong understanding of the mission, vision, and goals of the Indigenous Peoples Institute and the university, and how this role contributes to achieving them.

Compensation at a Glance
Salary Range: $24 - $32 per hour
Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.
