POSITION: Full-Time Student Affairs Operations Manager (Staff Associate): Student Affairs; Haverhill Campus; 37.5 hours per week, Monday through Friday, 8:30am - 4:00pm, on occasion, the individual appointed to this position may need to work some early evening hours to accommodate the work area; Non-Unit Professional Position
SUMMARY: Reporting to the Vice President of Student Affairs, the Student Affairs Office/Operations Manager, is a key confidential member of the Student Affairs Office collaborating with all departments across the College.
RESPONSIBILITIES:
- Collaborate with leadership in the creation of new and review of existing Student Affairs policies and procedures including but not limited to preventing barriers to student enrollment and persistence.
- Prepare, manage, and collaborate with Department leads and external stakeholders to facilitate meetings and events, including the creation of strategic materials to support discussion and decision-making and advance key objectives.
- Collaborate with all department leads within the Student Affairs division in the development, writing, analyzing, editing, or management of department or college policies.
- Review and prioritizes incoming documents and requests for information and drafts responses as needed.
- Maintain the divisional budget, monitor spending, and provide quarterly budget reports to the VPSA.
- Provide leadership and project management support to ensure timelines, deliverables, and outcomes align with institutional priorities.
- Develop and promote consistent project management methodologies, toolkits, and best practices across the Student Affairs division.
- Organize, actively participating in, and, at times, lead special projects as assigned by the VPSA
- Manage Student Affairs grants, in collaboration with the grants office, to ensure timely reporting, accountability, and compliance.
- Represent the VPSA as needed at college and/or state-level meetings/events
- Processes office purchase orders as needed.
- Coordinates and attends staff and direct reports meetings and other ad-hoc meetings and ensure appropriate follow-up actions are taken.
- Oversees management of the VPSA's office including but not limited to maintaining effective, confidential department record-keeping and managing the VPSA's schedule and calendar by scheduling meetings/events.
- At direction of VPSA, coordinates across all teams within the division for appropriate coverage to ensure efficient student support and customer service.
- Create, review and edit confidential reports and documents as needed. Draft, edit, and proofread PowerPoint and/or Excel presentations.
- Conducts research as requested and provides follow-up information on a variety of subjects.
- Serves as the liaison between VPSA and reporting departments, as well as, stakeholders and external agencies.
- Support the President's Office Manager by serving as a designated backup during absences or high-demand periods.
- Approving timecards on behalf of the VPSA and other HR functions
- Assist with large scale campus events as needed.
- Other duties as assigned.
Job Requirements:
MINIMUM QUALIFICATIONS:
- Bachelor's Degree or equivalent combination of education and experience
- Minimum of 5 years of experience in an executive office environment and/or in an Office Manager role.
- Budget management skills. Ability to read, analyze, and interpret common financial reports and legal documents.
- Ability to think, reason, and make sound judgments on how responsibilities are completed in compliance with college standards and guidelines.
- Ability to balance many projects at any given time.
- Proven experience managing a critical project from initiation to completion.
- Must have excellent verbal, written and interpersonal communication skills.
- Ability to work well both independently with little or no supervision as well as part of a team.
- Ability to multitask in a professional, courteous manner with a high level of efficiency and accuracy.
- Ability to organize and maintain records, reports, and projects.
- Excellent judgment and discretion in handling confidential information required.
- Must be proficient in Microsoft Outlook, Word, Excel, and PowerPoint. Banner experience a plus.
PREFERRED QUALIFICATIONS:
- Demonstrated experience in a diverse, multicultural environment and experience in higher education practices and procedures.
- Bilingual (Spanish/English)
- Experience working with and supporting a culturally diverse population.

Additional Information:
SALARY: Anticipated starting salary range is $80,000.00 - $85,000.00 annually with complete fringe benefit package including competitive health insurance, dental insurance, basic life insurance, long-term disability insurance, paid sick, vacation and personal leave, educational benefits for employee/spouse/dependents, and excellent retirement benefits.
