What We're Looking For
Baylor University is seeking an Assistant Director of Campus Visit Events in our Undergraduate Admissions department. The Assistant Director of Campus Visit Events is a highly visible and integral member of the Campus Visits team, responsible for creating unforgettable, high-impact visit experiences for prospective students, families, and key university guests. This role blends strategic planning, meticulous logistics, financial stewardship, and a flair for hospitality to ensure every visit is seamless, welcoming, and reflective of Baylor's mission and values.
The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, dynamic environment. They will be both a behind-the-scenes orchestrator and a front-facing ambassador, adept at anticipating needs, solving challenges on the fly, and ensuring every guest feels recognized and valued. A bachelor's degree and three years of relevant work experience are required. A bachelors's degree and five years of relevant experience are preferred. Additional education or experience will be considered in lieu of one another.
Additional requirements include:
- Proven ability to plan and execute large-scale events, manage budgets, track expenses, and produce accurate financial reports
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with Slate and event management platforms; experience with space planning and layout for events; ability to create graphics, presentations, signage, and email communications
- Strong presentation abilities; exceptional interpersonal skills with the capacity to connect across diverse audiences
- Highly organized, detail-oriented, and able to manage multiple priorities; independent, proactive, adaptable, and a creative problem-solver with a team-oriented mindset
- Flexibility to work evenings and weekends is required to support campus visit events
- Physical effort may include standing, lifting, and handling light to moderately heavy materials
A valid Texas Driver License with a clear driving record of at least two years is required.
Applicants must currently be authorized to work in the United States on a Full-Time basis.
What You Will Do
- Serve as a primary point of contact for prospective students, families, and high-profile guests, delivering a polished, concierge-level event experience
- Collaborate with deans, directors, faculty, and senior administrators to craft customized visit experiences that highlight the university's academic and cultural strengths
- Anticipate and respond to guest needs in real time, ensuring every event is welcoming, engaging, and memorable
- Build and maintain meaningful relationships with key university stakeholders to enhance recruitment outcomes and program impact
- Plan, coordinate, and execute major campus visit events, including Premiere and Baylor Bound Days
- Serve as planner and liaison to academic units for all Scholarship Program events, including Baylor2Baylor Med, Baylor2Baylor Law, Invitation to Excellence, Getterman Scholars, and Baylor Scholars Days
- Manage all event logistics from start to finish, including registration, venue setup, catering, signage, communications, and guest hospitality
- Provide backup coverage for campus visit operations and daily logistics as needed
- Develop, manage, and execute recruitment events and conferences with off-campus partners, including high school counselors, professional groups, donors, and VIPs
- Collaborate with Marketing and Operations to cultivate invitation lists, prepare strategic communications, and develop event content
- Oversee the Campus Visit Event Slate & Calendar, ensuring smooth coordination across all on-campus events
- Manage event budgets, track expenses, and ensure financial stewardship for all assigned programs
- Prepare, monitor, and reconcile financial reports, ensuring accuracy and compliance with university policies
- Make informed decisions on event spending, negotiating with vendors and maximizing resources for impact and efficiency
- Survey, evaluate, and analyze event outcomes to maximize enrollment yield and continually improve program effectiveness
- Identify opportunities to enhance visit experiences through creative touches, process improvements, and thoughtful guest engagement
- Contribute to strategic planning discussions that align campus visit programming with broader enrollment goals
- Assist in supervising student staff, including trained representatives and event student workers, providing guidance and mentorship
- Perform all other duties as assigned to support Baylor's mission
- Ability to comply with University policies
- Maintain regular and punctual attendance
